About the role

We are seeking a Temporary Executive (Academic Affairs) to join the National Institute of Early Childhood Development (NIEC) in the West Region on a 7-month contract to cover a maternity leave. In this role, you play a key part in supporting the implementation of academic governance policies and examination-related processes, and providing secretariat support for NIEC Board of Examiners (BOE) meetings.

What you'll be doing

• Issue electronic copy of academic collaterals, print and issue physical copies to NIEC graduates
• Implement academic governance policies and examination-related processes, monitor and rectify any gaps or inconsistencies
• Provide secretariat support for NIEC BOE meetings
• Generate, analyse and exchange data with internal and external stakeholders for planning, reporting and sharing purposes

• Enter invoices into the accounting system accurately along with the necessary supporting documentation.
• Check that the invoice is approved before it's processed for payment.
• Reconciliation invidual vendor monthly SOA and follows up with discrepancies or errors.
• Reviews the Accounts Payable Agings Reports and verify the aged items.
• Assist for providing detailed documentation of AP transactions to auditors.

Qualification:

• Minimum 3 years of experience in related fields.
• Degree/Diploma in Accountancy or equivalent professional qualification.
• Experience in handling transactions and/or accounts of construction industry is preferred.
• Proficient in Microsoft Excel.
• Positive working attitude, meticulous with accuracy & efficiency.
• Able to get along with others and display good team spirit.
• Able to work under pressure and adhere to tight deadlines.

Roles & Responsibilities:

• Managing stock orders and communicating with suppliers (proficient in numerical tasks).
• Handling incoming phone calls.
• Coordinating and scheduling ongoing tasks.
• Utilizing basic Microsoft Word and Excel functions.
• Daily monitoring of ongoing projects and logistics with warehouse.
• Placing orders with suppliers and verifying through email and fax.
• Managing billing processes and maintaining filing systems.
• Ongoing assessment, strategic sourcing and supplier relationship management.

Requirements:

• At least 2 years of working experience in inventory, co-ordination role or related functions.
• Good communications & negotiation skills.
• Good analysing and coordination skills
• Positive attitude and able to work independently and as well as in team.
