Responsibilities:

Requirements:

• Diploma/Degree in Electrical or Control Systems Engineering.
• 2–5 years of experience in automation, control systems, or project management.
• Knowledge of SCADA, DCS, PLC programming, and communication protocols (e.g., Modbus, DNP3, OPC).
• Hands-on experience in commissioning, testing, and troubleshooting.
• Strong project management and communication skills.
• PMP or Certified Automation Professional certification is a plus.

Scope of Works for Project Admin.

1. Project Coordination and Support

• Assist project managers and site teams in planning, scheduling, and executing construction projects.
• Coordinate meetings, prepare agendas, and record meeting minutes.
• Act as a liaison between the office, site teams, clients, consultants, and subcontractors.

2. Document Management

• Maintain and organize project documentation, including contracts, drawings, permits, and reports.
• Ensure all project-related documents are properly filed and accessible for reference.
• Monitor document submission timelines and ensure timely responses.

3. Communication

• Handle correspondence, emails, and communication between project stakeholders.
• Provide updates on project progress to relevant parties.
• Respond to inquiries and relay critical information to appropriate team members.

4. Procurement and Logistics Support

• Assist in coordinating the procurement of materials and equipment required for projects.
• Track delivery schedules and ensure materials are available on-site as needed.
• Maintain records of purchases, invoices, and delivery notes.

5. Budget and Financial Assistance

• Support the project team in tracking expenses and ensuring budget compliance.
• Prepare and process invoices, payment requests, and expense reports.
• Monitor subcontractor and supplier payments, ensuring accuracy and timeliness.

6. Scheduling and Time Management

• Update and maintain project schedules using project management tools.
• Assist in monitoring deadlines and alerting the team to upcoming milestones.
• Track and report on project progress to ensure alignment with planned timelines.

7. Health, Safety, and Compliance

• Assist in ensuring compliance with health and safety regulations on-site.
• Maintain records of safety inspections, certifications, and compliance documents.
• Coordinate training sessions or certifications required for team members.

8. Issue Tracking and Resolution

• Maintain a log of issues, delays, or challenges affecting project progress.
• Collaborate with the project team to resolve administrative and logistical issues.
• Escalate critical issues to management as required.

9. Reporting

• Prepare and distribute daily, weekly, and monthly progress reports to stakeholders.
• Consolidate data from various sources to create comprehensive project updates.
• Maintain records of project metrics and key performance indicators (KPIs).

10. General Administrative Duties

• Perform routine office tasks, such as filing, data entry, and scheduling.
• Ensure office supplies and equipment for the project team are available.
• Provide administrative support to other departments as needed.

11. Closeout and Handover Support

• Assist in preparing closeout documentation, including as-built drawings, warranties, and operation manuals.
• Coordinate the handover process with the client and ensure all deliverables are completed.
• Archive project records and ensure proper documentation for audits or future reference.

Job Responsibilities

• Responsible for day to day contact and communication with the Client, focusing on providing client satisfaction
• Possess knowledge of Oil & Gas design and engineering in the offshore industry
• Supervise personnel assigned to the project through subordinate leaders
• May also serve as the proposal manager of medium-sized projects
• Job role includes some budgetary accountabilities
• Manage internal and external project interfaces
• Responsible for delivery of project deliverables in accordance with the project schedule, including early identification and resolution of problems that may impact progress
• Support the Management of Change process on the project, including the development of discreet schedules and budgets
• Support the identification and management of risk on the project, including development of mitigation measures to remove and/or control residual risk

Job Requirements

• Degree in Engineering with 7 years of experience
• Experience with an Oil & Gas engineering company handling Onshore and Offshore projects
• Experience in coordinating and serving as the focal point for Mechanical Equipment procurement including but not limited to bid clarification meetings, procurement status reviews, kick-off meetings and liaison with mechanical package engineers and Client engineers
• Knowledge of multi discipline execution of Offshore projects
• Knowledge of 3D CAD and other Engineering and Design Tools, including Intelligent PIDs, SPI, SPE and Navisworks
• Knowledge of Digital delivery of projects is preferred
