About the role of HR Executive

Human Resource Executive

We seek a dynamic capable person who can provide essential support across the HR function by handling daily operations, managing HR records, and ensuring compliance with established policies and procedures.

The HR Executive will execute key HR processes, including recruitment support, payroll assistance, and employee data management, while fostering a positive work environment and assisting with engagement initiatives.

Key Responsibilities:

1. Recruitment & Onboarding

• Coordinate the recruitment process, including posting job advertisements, scheduling interviews, and maintaining candidate records.
• Prepare onboarding documentation for new employees, ensuring they are oriented to company policies, benefits, and general procedures.

2. Payroll (Outsourced)

• Coordinate with the outsourced payroll provider to ensure smooth payroll processing.
• Verify and submit necessary employee information to the vendor.
• Address employee inquiries related to payroll.
• Submit Payroll Journal to Finance monthly, and AVC/AWS Provision to Finance quarterly.

3. Confirmation Appraisal

• Process confirmation appraisals for probationary employees to assess performance for regular employment.
• Document results of confirmation appraisals, coordinating with supervisors to ensure all relevant data is recorded accurately.

4. Employee Welfare & Engagement

• Serve as the first point of contact for employees on general HR inquiries regarding policies, benefits, and procedures.
• Support engagement activities by assisting with planning and coordinating staff welfare initiatives and events.
• Maintain records and prepare documentation for employee exits, including resignations and retirements, and conduct exit interviews as directed by the HR Manager.

5. Training and Development Coordination

• Assist in coordinating training programs, including managing course registrations for employees.

6. HR Data Management and Surveys

• Maintain accurate and up-to-date employee records, including personnel files and HR system data.
• Conduct quarterly MOM and OED surveys, preparing and submitting data as required.

7. HR Administrative Support

• Prepare essential HR Documents (e.g. Letter of Appointment, Confirmation Letter, Acceptance of Resignation etc).
• Support operations in =DREAMS (Singapore) Limited as part of Shared Services.

Requirements:

• Diploma or Degree in Business with major in HRM.
• Preferably with at least 2 years’ experience.
• Good spoken and written English.
• Strong interpersonal and communication skills, and ability to interact effectively at all levels of the organisation.

Accreditation Executive

The Accreditation Executive plays a critical role in ensuring that the schemes meet the required standards, maintain compliance, improve the operations as well as the outreach to targeted persons/companies.

The role will require the Executive to manage the respective accreditation programs – this involves outreach, implementing accreditation policies, procedures, and standards that comply with the approved framework.

This includes but not limited to reviewing the applications and ensure that they meet the required criteria, as well as compliance with the set standards, providing guidance and support to personnel seeking accreditation, answering any questions they may have and provide assistance with the application process. The executive will also need to maintain up-to-date and accurate records of all accreditation activities, including applications and compliance reports.

The executive will be required to outreach to the industry, liaise with various stakeholders, including accreditation panel, regulatory agencies (where applicable), and industry players, to ensure compliance with standards and promote the accreditation programmes.

We are looking for an incumbent with drive and commitment to deliver the job scope as follows:

1. Raise Purchase Orders (PO), source for competitively priced products from China and other countries, arrange shipping, follow up on timely delivery, check quantity and quality of reception into stock is in accordance with PO, report on items not received or damaged to Supervisor. Close communication and co-ordination is required with Requisitioners, supplier, freight forwarders is required to ensure timely delivery and no stock out situation. Update reception into inventory system in a timely manner.

2. Pack orders according to sales orders (SO) ready for delivery from the Sales team. Check quantity and quality of goods are accurate as per SO. Incumbent has to co-ordinate and iIase with freight forwarders and customers, prepare delivery documentation required on delivery. Ensure accurate packing, prompt delivery to customers. Update Sales system on delivery information in a timely manner upon goods being shipped out

3. Carry out regular stoctake to ensure physical stock and inventory system is the same.

4. Organise inventory in the warehouse for easy retrieval

5. Identify obsolete or damaged stocks for disposal and highlight stock with low stock level for replenishment to supervisor

6. One of our sources of products is from China, therefore knowledge of Mandarin is required as one of the sources of supply is China
