1. Handle the Accounts Receivable (AR) and collection functions to comply with company policies and statutory requirements.

Procurement and Resource Management

Sourcing and Cost Management

• Source items within allocated budgets and negotiate with suppliers for cost-effective solutions.
• Draft ITQ (Invitation to Quote) specifications for purchases exceeding $3,000.

Purchase Order and Delivery Management

• Create and raise purchase orders based on departmental requirements.
• Monitor delivery schedules, ensure timely receipt of goods, and inspect received items as the Goods Receipt Officer.

Supplier and Compliance Management

• Maintain strong supplier relationships to ensure reliability and quality.
• Ensure compliance with procurement policies and prepare documentation for audits.

Resource Allocation

• Oversee the setup and maintenance of AV equipment, apps and systems.
• Manage the physical and virtual resources e.g. issuance of laptops to staff, iPads to students, and teaching resources in the resource room.

Document and Data Management

• Digitalize important documents by scanning, categorising, and systematically filing them.
• Maintain confidentiality and security protocols for all managed documents.
• Keep detailed and accurate procurement and resource management records to support decision-making and compliance.

Stocktaking, Disposal, and Decluttering

• Conduct inventory of physical assets, updating records with item status and location.
• Identify items for disposal, coordinating secure and responsible disposal according to school policies.

Operational and Logistical Support

• Assist in the planning and execution of relocation schedules, ensuring minimal disruption.
• Support logistical arrangements for moves, including coordination with vendors and setup at the new location.

Administrative Support

• Provide clerical support to ensure smooth day-to-day operations, including answering phone calls, data entry into StudentLink, writing minutes, organising school events and other administrative tasks.

Job Summary

The Senior Marketing Executive / Assistant Manager supports the Marketing and Communications team by coordinating and executing luxury lifestyle & F&B retail marketing, PR activations, social media content creation and campaigns with the objective of driving sales while maintaining the brand’s luxury marketing position. This role requires an understanding of retail and digital marketing; public relations; social media management; programmatic & social advertising; and SEO.

Primary Relationships

The position reports to Marketing Manager.

Within the organisation, this position has primary working relationships with the Marketing, PR, Social Media, Operations and Warehouse teams, as well as staff with similar positions within subsidiaries and franchises.

Outside the organisation, the position coordinates primarily with service providers such as marketing, PR and media agencies; as well as within strategic partners marketing teams such as other luxury brands, malls airlines, banks etc.

Responsibilities

• Coordinate with Marketing Manager on an annual marketing calendar and translate this vision into a coherent strategy which can be implemented in the local market as well as overseas markets.
• Implement and execute marketing campaigns that will enhance the brand’s image and positioning within the marketplace and the general public.
• Collaborate with relevant team to create comprehensive digital marketing strategies aligned with business goals. Identify target audiences, select appropriate digital channels, and develop tactics to reach and engage them effectively.
• Plan, execute and monitor marketing campaigns across various channels, including search engines, social media advertising, email marketing and content marketing. Optimise campaigns based on performance metrics and insights.

• Coordinate production of branded materials and ensure consistent articulation of the brand’s desired luxury image and positioning across the brand’s advertising, print and electronic materials through marketing assets and strategic placement within vicinity of brand presence through the use of way-finders, lightboxes, posters, landlord’s website etc.
• Stay updated on industry trends, customer behaviour, and competitor activities. Analyse market data to identify opportunities and provide recommendations for improving marketing strategies.

Requirements

• Preferred degree in marketing, business management or related.
• At least 3-4 years of experience in a similar role, previous experience in the luxury retail industry would be a plus.
• Written and spoken native fluency in English and Mandarin; additional language(s) are a plus.
• Proficient but not limited to MS Office, Meta & Google business management platforms, Knowledge of Google AdWords, social media management platforms, e-mail marketing and etc.
• Familiarity with social media (management tools, software and knowledge of social media tracking) is advisable.
