Accounts Receivable Management

· Managing the AR process, ensuring timely invoicing and accurate customer account management.

· Liaise with clients and internal operators to resolve payment discrepancies and expedite collections in a professional and efficient manner.

· Collaborate with AP team on cashflow projection.

Reporting and Analysis

· Generate weekly AR aging reports

· Update daily cash flow forecasts based on the latest information received from the commercial team, ensuring accuracy and alignment with operational needs.

· Provide actionable insights to management to support decision-making.

Compliance and Process improvement

· Ensure compliance with company policies, accounting standards and regulations.

· Assist in implementing best practices for AR management, credit control, and risk assessment.

· Identify and execute process improvements to enhance efficiency and accuracy in financial operations.

Monthly Closing for Affiliated Company

· Manage financial closing process for the affiliated companies with a low transaction volume.

· Ensure accurate recording of transactions, account reconciliations, and preparation of yearly management report

· Collaborate with internal and external teams to meet reporting deadlines and ensure compliance.

Functions and Responsibilities

· Support Operator / Marine Superintendent in maintaining / updating HSSEQ management system

· Arranging and monitoring the progress of vessel vetting inspections from initial request to final close out and approval, including communications to the vessel, oil majors, vessel agents and relevant internal departments

· Attend Marine Department meetings, record minutes and distribute as required.

· Assist with updating, checking and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), updating internal records, customer and other Marine databases (SIRE, Q88, SIS3, CDI) as appropriate.

· Monitoring information flow from the fleet to the department to ensure all necessary information updates are received.

· Monitoring incoming mail from ships and correct distribution within office

· Monitor and record acknowledgements from the fleet.

· Assist with production of required marine department statistics.

· Assist with the documentation required for Management Reviews.

· To maintain and update all Fleet Notices, Circulars in the DANAOS on monthly basis.

· General administration work as required.

· Filing of Marine related weekly and monthly reports and documentation as received from the vessels/various other parties – moving to electronic filing and DANAOS.

· To ensure compliance with voyage instruction and to guide vessel master in accordance to the governing CP.

· Liaise with purchasers, vessel Superintendent and logistical service providers on planning for loading / unloading / transshipment of stores and spares.

· Monitor and review actual fuel consumption of vessels against budgeted consumption to ensure cost effectiveness.

· Monitoring vessel’s movement and performance and report to related parties.

· In any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance and so on, to communicate for settlement based on charter party

· Clerical work such as filing shipping documents, entering voyage data into business applications.

· Assist with compilation of Insurance Claim documentation.

· Coordination with Master / Charterers regarding unplanned stoppages / repairs. Including follow up for OFF/ON Hire reports and instructions to master’s regarding Vessel side reports (to external parties) (Under guidance from Technical Supt)

· Monitor and support all vessels on operational issues (Loading / discharging / tank cleaning / grade change) (Under guidance from Marine Supt)

· Assist with post fixture activities as required (Cargo documentation (BL’s / LOI’s, Cargo quantity issues, Additional Insurance requirements (AWRP / KnR) (Under guidance from Marine Supt as required)

· Bunker ROB / Requirements of the vessel. Including notification to charterers (if required) and Intake quantity + segregation onboard. (Under guidance from Tech Supt and advise from Master as required)

· Agency appointment (as required) on owners’ behalf.

· To monitor the speed & consumption of all vessels to comply with respective Charter party requirements.

· Collect Customer Feedback.

· Organising client engagement events (client appreciation dinner, knowledge sharing webinars/ talks)

· Manage corporate gift inventory and liaising with vendors to source and procure new merchandise, arranging of deliveries to clients

Media Relations

· Proactively identify opportunities in the media for the Firm to provide expert commentary, drafting interview preparation materials in support of firm’s profile-raising objectives.

· Build strong connections with reporters at media outlets, such as Straits Times, Lianhe Zaobao/Wanbao, MoneyFM, business publications

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• In charge of the Front Desk operation for the entire shift and ensure all task on the same shift are to be completed on time and follow the quality standard
• To check and ensure the Front Desk is fully equipment with all stationary and report any equipment malfunction to the respective department and Duty Manager
• To always maintain a friendly and professional image and smile under all circumstances
• To provide courteous service to the guests and respond promptly and tactfully to the guests’ complaints, requests, and enquiries.
• To listen attentively to the guests’ requests and enquires
• Ensure all arrival and departure VIPs and Suite guests are taken care of, e.g. rooms are readily available with amenities and cards, welcome and escort guests to room, courtesy call 30 minutes after rooming, and one day before departure, etc.
• Night shift to submit request if any reordering is required for next month.
• To ensure close co-ordination with all other team members from Concierge and Bell Desk, Front Office, Security, and all other hotel departments especially with regards to Guest Service Requirements
• To maintain and update guest records and preferences in the Opera system.
• In charge of the arrival and departure of any group activities
• Consult or inform departments concerned regarding guest feedback and follow up with actions required.
• Follow up with departments concerned and confirm that the task has been completed within the time range communicated.
• To conduct daily briefing and updating of hotel information
• To assist concierge/bell service during the same shift for guest request.
• To ensure there are sufficient key cards at check in Kiosk and report to Duty Manager if any machine was not logged in or functioning. To report to Duty Manager for any non-functioning kiosk equipment.
• To assist Executive Lounge and Telephone Operator when needed (after training).
• To ensure all traces left for the current shift have been resolved and attended to.
• To perform any other duties that may be assigned by the Management.

Main Responsibilities at Switchboard:

• Address incoming and outgoing calls.
• Taking messages for in-house guests and internal guests.
• Programming of wake-up calls.
• Giving a reminder wake up calls.
• Sending jobs request from in-house guests and internal department.
• Taking reservations for F&B and update in booking system
• Managing the main email address and response accordingly
• Taking booking for the Spa
• Handling of emergencies such as fire alarm, guest trap in the lift, calling for doctor, calling for ambulance etc.
• Checking on the television channels.
• To perform any other duties that may be assigned by the Management.

Main Responsibilities at Executive Lounge:

• To ensure daily assignment of Executive Floor guest rooms
• To prepare and update daily records for Lounge.
• To maintain and count stock for Lounge equipment.
• To order daily food/ beverage items
• To collect item from hotel store
• To assist delivery of VIP guest room amenities.
• To provide quality service to guests while they are in the lounge.
• To check guest satisfaction for all guests at Lounge.
• To perform any other duties that may be assigned by the Management.
