To support the Admin Manager in the day-to-day management of the reception, administration and others supporting duties.

Reception duties

• Attend to incoming calls
• Attend to visitors and handle all enquiries
• Manage the auto-gate intercom and the public address system
• Attend to all incoming faxes and mails from letterbox
• Maintain a good filing system and records.

Administrative duties

• Handle the admission, discharge, booking and coordination of transport for the residents
• Arrange for financial counselling
• Ensure that the residents’ records are updated and properly maintained

Other duties

• Coordinate with the Nursing Department for the services and consumables required and used by the residents and ensure that all these items are keyed into the CURA System, as well as any special meals ordering
• Coordinate with the Nurse Managers for bed assessment and functional status report for subsidy application
• Coordinate with the Physiotherapists for PT report for purpose of subsidy application
• Email discharge notice to respective nursing level
• Handle client’s feedbacks and re-direct the feedback to the respective Departmental Head
• Print of wound photos sticker labels and prescriptions
• Attend to resident/family needs (e.g. purchase of ripple mattress and additional PT session)

Job Requirements

• Possess “O” Level / "A" Level Certificate or a Diploma in Business or its equivalent

The Senior / Executive, IT / Cybersecurity (ITCE) will assist the Senior Manager (IT) to plan, implement and manage organisation-wide IT infrastructure and IT-related systems in Vanguard. iii. Manage and work with vendor to resolve any IP Telephony problem

· Assist the Information Technology / Cybersecurity Manager to plan, implement and manage all IT network, systems and data security measures against cyber-attacks.

· Conduct IT security awareness training programs and workshops for staff

· Provide regular operation system reports to Head, Corporate Services

· Identify opportunities for team training and skills advancement

· Work with all stakeholders to identify and provide responsive support on IT requirements

Any other duties assigned by the supervisor

Educational Requirements & Experience:

• Diploma/Degree in IT-related field with at least 2-years working experience
• Qualification in IT professional certifications like CCNA, MCSA/MCSE, ITIL and CISSP etc
• Possess strong troubleshooting and good problem-solving IT skills in relation to diagnosing and solving both technical hardware / software faults
• Strong proficiency in Microsoft Office applications
• Minimally 2-years’ experience in Microsoft Windows software, HP Networks, Microsoft Servers and Fortinet Firewall.
• Knowledge of cyber security and cloud computing will be an advantage.
• Ability to attend to details and respond swiftly to work demands
• Has good written and verbal communications skills
• Has good organizational skill and ability to identify and resolve IT issues in a timely manner
• Ability to stay updated on new technologies and IT innovations
• Demonstrated accountability, crisis management capability and an ability to prioritise

As an Executive, Finance, you will be responsible for managing and processing vendor invoices, payments, and related financial documentation. This role requires meticulous attention to detail, the ability to work efficiently within deadlines, and a strong understanding of accounting principles. You will play a key role in ensuring timely and accurate payment processing while supporting system implementation and audit processes.

Responsibilities:

• Prepare and manage invoices and vendor payments, aged payables reports, balance sheet schedules (e.g., prepayments, accruals, work in progress, recoverables), SOA reconciliation and accruals, fixed asset schedules, depreciation, and assigning fixed asset ID tags.
• Maintain annual fixed asset and petty cash counts
• Verify invoices against purchase orders and confirm the receipt of goods or services
• Assemble, review, and process invoices for payment; ensure timely vendor payments
• Assist in system implementation and audits
• Contribute to optimizing current processes to shorten month-end closing timelines
• Provide additional support as needed to ensure the organization meets its payment obligations

Requirements:

• A diploma or degree in Accountancy
• At least 2 years of relevant experience, preferably in Accounts Payable (AP) or full-set accounting
• Additional skills that are advantageous:Strong teamwork and communication abilities
  Hands-on experience with accounting software and MS Office
  Proactive attitude with a willingness to learn and improve
