1) Full Set of Accounts Management:

- Responsible to manage and maintain the full set of accounts.

- Ensure accurate and timely recording of financial transactions.

- Support monthly, quarterly, and annual financial statements and reports.1

2) Accounts Payable and Receivable:

- Handle all aspects of accounts payable and receivable.

- Perform bank reconciliations and monitor cash flow.

- Handling and developing improvement processes in overall General Ledger account including managing subledger of AR, AP, and Inventory account, Intercompany transaction, account revaluation and depreciation.

- Update the receipt entries in the accounting system on daily basis

- Manage accounts payable and receivable functions, including invoice processing and follow up to the clients with regards the outstanding AR in timely manner.

3) General Ledger Maintenance:

- Maintain and reconcile general ledger accounts.

- Ensure compliance with accounting standards and regulations.

- Prepare and post journal entries as required.

4) Financial Reporting and Analysis:

- Assist in the preparation of budgets and forecasts.

- Conduct financial analysis to support business decisions.

- Prepare ad-hoc financial reports as needed.

5) Compliance and Audit:

- Ensure compliance with local tax, GST regulations and filing requirements.

- Ensure quarterly GST submission is accurate and submitted on timely basis

- Assist with internal and external audits.

- Maintain accurate and organized financial records.

6) Human Resources Functions:

- Support monthly payroll and incentive calculations.

- Process staff claims and reimbursements.

- Maintain and organise personnel records and filing.

JOB REQUIREMENTS:

• Bachelor’s degree in Accountancy/Finance strongly preferred.
• Minimum 3 years of full set accounting experience.
• Meticulous and organized.

• Possess excellent communication and interpersonal skills
• CPA/ACCA/CA or equivalent is a plus point
• Strong technical skills and ability to work in a fast-paced environment, having good oral and written communication skills and be analytical, independent, and proactive

The Role

Asset Management

• Oversee daily operations of building facilities and M&E (Mechanical & Electrical) equipment for offices and warehouses, ensuring a safe and functional environment for stakeholders.
• Recommend and implement enhancements or additional facilities/equipment.
• Manage maintenance programs, procurement activities, and asset tagging.
• Identify and implement improvements for asset operations, ensuring optimal performance.
• Assist with administrative duties, including approval of iPOS, capex forms, invoices, and facility-related documentation.
• Maintain accurate records and inventories of all building assets and equipment.
• Prepare ISO documents for audits and ensure certifications and licenses are current.

Facilities Management

• Supervise daily facility operations, maintenance, and PPM (Planned Preventative Maintenance).
• Address user requests/complaints regarding maintenance, equipment acquisition, and disposal.
• Prepare budgets, process payments, and manage departmental expenses.
• Oversee root cause analysis reports and ensure compliance with corporate policies and standards.
• Manage building shutdowns, testing, and maintenance schedules.
• Liaise with City FM and stakeholders for maintenance coordination and service reports.
• Obtain approvals for procurement and maintenance activities via email.

People Management

• Address stakeholder requests, feedback, and complaints with appropriate action.
• Build and maintain positive relationships with stakeholders.
• Train new hires and stakeholders on using the MyFM app.
• Oversee soft services, including feedback management from landlords and stakeholders.

Financial Management

• Manage OPEX and CAPEX budgets, including preparation, monitoring, and control.
• Advise stakeholders on service fee changes.

Procurement & Vendor Management

• Procure contracts and goods related to facilities and asset management, including negotiation and adherence to guidelines.
• Monitor vendor performance and take corrective actions as needed.

Building Improvement & Fit-Out Works

• Lead building improvement, renovation, and retrofitting projects within budget and timelines.
• Manage fit-out projects, including budgeting, tendering, supervision, and procurement of equipment and furniture.

Environmental, Social, and Governance (ESG)

• Assist in ESG initiatives by preparing and submitting data on water efficiency and waste management.
• Ensure regulatory compliance with EHS and green initiatives led by the Facilities Manager.

JOB PURPOSE

The Accounts Executive is responsible for providing financial and administrative support to colleagues, clients and stakeholders of the business. He/she will be exposure to full set of accounts of one or more entities in the group and managing both accounts payable and receivable.

CORE ROLES AND CRITICAL WORK FUNCTIONS

General Ledger / Management account

• Administer and monitor the financial system to ensure that financial information is maintained accurately and timely
• Compile and analyze financial information to prepare financial statements including monthly and annual accounts
• Ensure financial records are maintained in compliance with accepted policies and procedures
• Ensure all financial reporting deadlines are met
• Prepare financial management reports
• Ensure accurate and timely monthly, quarterly and year end closing
• Adhere to accounting control procedures
• Resolve accounting discrepancies and irregularities, and escalate to Senior Finance Manager if unresolved
• Provide support in budgeting and forecasting activities
• Monitor and support taxation issues
• Develop and maintain financial data bases

• Ensure accurate and appropriate recording and analysis of revenues and expenses

Accounts Payable / Accounts receivable

• Administer and monitor the AP / AR system in order to ensure that the AP / AR are maintained in an accurate and timely manner
• Coordinates and liaises with other business units on billing and invoices requirement
• Reviews invoices for accuracy & compile source documents
• Sorts documents by account name or number, and processes invoices for payment.
• May perform other clerical duties associated with accounts payable / accounts receivable.
• Verifies and posts transactions to journals, ledgers and other records.
• Prepares statements, invoices and vouchers for suppliers & customers
• Ensure transactions are properly recorded and entered into the accounting system
• Handle AP / AR balancing and reconciliations.
• Determines credit worthiness of clients and formulates credit and collection policies. Takes appropriate action against delinquent accounts.
• Establishes and maintains accounting practices to ensure data necessary for business operations is accurate and reliable.
• Ensures the settlement of outstanding accounts according to contract terms. Contacts customers by telephone and/or letter.
• Reviews customers’ credit limits and accounts, sends monthly statements, issues escalation or final notice letters, and refers unpaid accounts for debt collection or legal action.

QUALIFICATIONS, SKILLS & EXPERIENCE REQUIRED

• At least a Diploma/Degree in Finance / Accountancy or equivalent
• At least two (2) years of working experience in the related field.
