Main Responsibilities:

• Documentation Management: Prepare and manage all export and import documentation (EXIM trade documentation) for smooth and timely shipping and compliance.
• Reporting: Submit daily and weekly reports to the Operations Manager, including management information systems (MIS) updates.
• Shipment Coordination: Coordinate with overseas suppliers and shipping lines for shipment tracking, ensuring timely communication and updates to clients.
• Supplier Sourcing: Reach out to international suppliers (China, Taiwan, Korea, Europe, etc.) for product sourcing while maintaining a professional and cordial relationship.
• Customer Payment Collection: Follow up with customers over the phone for payment collections and maintain accurate records of interactions.
• Administrative Support: Assist in general administrative tasks as needed and support the team in various operational activities.
• Other ad-hoc activities assigned

Requirements:

• Diploma or higher in Science, Pharmacy, Business Management, or Marketing.
• Minimum 1 year of experience as an Administration Assistant, Operations Executive, or Logistics Coordinator.
• Bilingual in English and Mandarin to converse with Mandarin speaking associates

Responsibilities:

• Project cost control for Work in Progress (WIP)

• Maintain financial records and ensure accuracy of data and information

• Prepare full set of financial statements including balance sheets, income statements, and cash flow statements

• Oversee all accounting operations, including accounts payable, accounts receivable, general ledger, project accounting and inventory accounting.

• Ensuring all supporting schedules are accurately maintained and documented

• Ensure compliance with accounting regulations and standards

• In charge and oversee for GST filing and other statutory filings

• Help to develop and maintain accounting policies and procedures where necessary

• Liaise with external auditor, tax agent and authorities

• Handle other regional office accounts

• Handle other ad-hoc financial and accounting tasks as and when required

Requirements:

• Diploma / Bachelor's degree in Accounting, ACCA or equivalent

Duties and responsibilities:

• Ensure that all transactions are well documented

• Responsible for the full spectrum of Accounts Receivable.

• Ensure accurate and timely processing of Goods Return Note.

• Coordinate local cheque bank-in and daily update of incoming funds to the NAV system. To ensure timely updating of customer accounts.

• Monitor and follow-up with customers on overdue account and arrange for debts collection.

• Reconcile Customer Collection with Bank Ledger.

• Responsible on monitoring monthly /weekly Debtors aging.

• Mailing of Statement of Accounts to customers and respond to their inquiries.

• Prepare Accounts Receivable monthly cash flow forecast.

• Preparation of Journal entries for accruals & other adjustment.

• Preparation of monthly and year-end Balance Sheet schedules.

• Liaising with internal and external auditors.

• Looking into strengthening current and process improvement

• Undertake ad hoc duties as assigned.

Requirement:

• Diploma/Degree in Accounting

• At least 3 years of experience in accounting & finance.

• Mathematical and analytical ability

• Proven ability to work cross-functionally

• Work independently with minimal guidance required, i.e., good time management,

planning/organization and decision-making skills.

• With a high degree of accuracy and efficiency

• Proficiency in Excel and other Microsoft office applications

• A team player who possesses good communication skills.
