To support Dover Park Hospice fundraising team in project-based administrative support, general (non-clinical) market or user research, and secretariat functions.

Technical Skills:

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to create high-quality presentations in PowerPoint.

- Ability to set up and organise communications apps such as Zoom, Teams and Google Meet

- Ability develop an Excel based database independently and use it for basic analysis.

Your scope of work and duties shall include:

· Responsible for inventory management; replenishing stock control in SG warehouse and all studios

· Responsible for visual inspection on goods arrived at the warehouse and packed for transferring to our studios.

· Liaise and coordinate with vendors, freight forwarders, carriers on delivery date and pick-ups

· Inventory reconciliation between in-house tracking system and the physical counts.

· Support inter-departments on stock quantity related issues.

· Comply strictly with the company’s standard operation procedures, workplace safety rules and regulations.

· Maintain the cleanliness and tidiness of the warehouse.

Additional Tasks:

· Assist in Customer service communications through Zendesk.

· Front desk duties when required.

· Any other duties as assigned.

• Monitor overall shipping schedule, delivery schedule to fulfill orders committed
• Liaise with clients on open orders, deliveries and reschedules
• Perform Invoicing and Accounts Receivables
• Maintain inventory and stock reconciliation
• Extract and compile information to create report
• Filing, Posting and Data entry
• Perform daily arrangement for delivery & customers’ collection of goods
• Perform order processing into accounting system
• Monitor overall shipping schedule, delivery schedule to fulfill orders committed
• Manage and build a good relationship with 3rd party transporter to ensure on-time deliveries
• Manage and work closely with Malaysia/Thailand/China team on the day to day operations on daily basis and to ensure that all requirements are met
• Work closely with internal departments to coordinate shipment and to liaise with external parties or forwarders
• To ensure that all inventory transactions are completed within the timeline and maintain stock accuracy
• Coordinate the day to day import/export logistics operations with Malaysia/Thailand/China team and transactions documentation for freight forwarding and other related activities
• Assist to submit GST supporting document to accounts department
• Perform other duties as assigned by the Superiors/ Management

Office Administration:

• Standardize and manage daily office operations.
• Responsible for the procurement and management of office supplies and facilities.
• Maintain filing and document management for administrative forms, contracts, and certificates.
• Record administrative expenses and coordinate with the finance department for cost accounting.

Activities and Coordination:

• Assist in organizing company events, such as team building, D&D.
• Coordinate employee activities and distribution of holiday gifts.

C-level Support:

• Provide administrative and secretarial support to the CEO and management team.
• Manage apartments for expatriates.

Ad-hoc:

• Assist with account applications for employees and onboarding/offboarding processes for new employees.
• Draft and publish internal notices and general administrative documents.
• Ad-hocs assigned by management.

Job Requirements:

• Fluent in both Chinese and English.
• Able to write and speak in Chinese fluently as to communicate well with the stakeholders
• 1-2 years of relevant administrative work experience.
• Strong organizational and multitasking skills.
• Proactive, detail-oriented, and able to work independently.
• Good communication and interpersonal skills.
• Proficient in Microsoft Office software (Word, Excel, PowerPoint).
