• Provide administrative support including scheduling meetings/Events, preparing documents/Certificates and maintaining records.
• Day to day office administration
• Coordinate and communicate with external vendors, service providers, and stakeholders.
• Maintain accurate and up-to-date documentation, such as contracts, policies, and organisational files.
• Assist in preparing reports, presentations, and correspondence.
• Organise and maintain a systematic filing system, both electronic and physical.
• Monitor and respond to general inquiries via email, phone, or in-person.
• Keep record of inventory
• Assist in supplier payment
• Supporting the HR Administration function
• Assist with the implementation of office procedures and ensure adherence to organisational policies.

Requirements:

1. Microsoft Excel skills: Able to use and set up spreadsheets

2. Microsoft Outlook: Able to write and respond to emails.

Responsibilities:

IT Functions

1. Performing EOD processing ensuring completion for all processing tasks.
2. Perform daily backup operations.
3. Provide basic IT and network support including troubleshooting, system installation, configuration and upgrading.
4. Managing of IT assets and assists in decision making and procurement process.
5. Performing the business day closing functions which includes the preparation of financial reports using the bank system and application.
6. Perform reports printing and distribution.
7. Assist and acting as a backup of IT Manager.
8. Other ad hoc duties as requested by the IT Manager.

Administrative Functions

1. Provide support for general administrative tasks.
2. Manage office supplies and inventory.
3. Provide secretarial support for the General Manager.

Requirements:

• At least 3 years of relevant experience.
• Computer literate and proficient in MS Office Suite.
• Good communications skills.
• Pleasant personality and service-oriented.
• Attention to details.
• Must be a team player and be able to work independently with minimum supervision.
