• Handle incoming and outgoing goods
• Liaise with vendors on goods return & credit note
• Key into system data entry records for purchase of stock and update stock movement records (in/out)
• Ensure accuracy of inventory records
• Explain stock discrepancies between physical stock qty and stock records qty
• Conduct monthly stocktake
• Ensure warehouse is organized, labeled and well maintained
• Prepare weekly stock reports

Requirements

• Must be physically fit and hands on
• Minimum 1 year of relevant work experience
• Computer literate, proficiency in Microsoft office, especially Microsoft Excel
• Able to handle stress and work in a fast paced environment
• Good memory

Working days: 5.5 days

Time: 8:30am – 5:30pm (Mon-Fri), 8:30am – 12:30pm (Sat)

Job Description

• Inventory planning and cost management
• Source for potential vendors (local and overseas)
• Compare and evaluate quotes from suppliers
• Negotiate procurement contract terms and pricing with suppliers
• Raise & issue Purchase Orders to suppliers
• Create Purchase Orders in the accounting system
• Track purchase orders and ensure timely goods delivery
• Review quality of purchased products
• Liaise with supplier on arrangements on returned goods
• In-charge of logistics for purchase of both local & overseas goods
• Follow up on credit notes for goods returned to supplier
• Maintain updated records of purchased products, delivery information & invoices
• Prepare regular purchase analysis reports and purchases trend
• Source sales for slow-moving inventory and coordinate such sales
• Work together with storekeeper to monitor stock levels and place orders as needed
• Work with storekeeper to ensure proper storage of inventory and consumables.
• Backup storekeeper duties as and when required

• Good knowledge in car spare parts and the suppliers locally
• Able to source from overseas suppliers and online sites to order in the spare parts to Singapore (i.e. familiar with freight arragement on top of the ordering of parts)
• Minimum 3 years experience and proven to have good experience in current role

About the role:

1. Odoo System Administration:

• Install, configure, and maintain the Odoo ERP system.
• Customize and develop modules to meet the specific needs of the Procure-to-Pay process.
• Manage system upgrades & improvement, patches, and security updates.
• Perform regular system backups and ensure data integrity.
• Ensure Procurement data integrates to additional tools (spend analytics, savings tracking, suppler risk management) and accuracy across systems is maintained.
• Manage coding and category taxonomy/structure.

2. P2P Process Management:

• Collaborate with cross-functional teams to understand and improve the Procure-to-Pay process.
• Configure, monitor, and maintain P2P workflows within the Odoo system.
• Ensure data accuracy and compliance with procurement policies and procedures.

3. User Training and Support:

• Provide training and support to end-users on Odoo and the P2P system.
• Troubleshoot and resolve system-related issues in a timely manner.

4. Reporting and Analytics:

• Create and maintain reports and dashboards for P2P performance and KPI tracking.
• Analyze data to identify opportunities for process improvements and cost savings.

5. Documentation:

• Maintain comprehensive documentation of system configurations, customizations, and procedures.

6. Vendor Management:

• Collaborate with vendors and third-party service providers for system enhancements and support.

About you:

• Bachelor's degree in Information Technology, Computer Science, or related field.
• Proven experience in configuring and administering Odoo ERP systems for at least 3 to 5 years.
• If Odoo system experience is a challenge, prior experience in iValua and SAP system management is an added advantage
• Incumbent must be willing to travel across SEA countries to support the implementation of the system
• Strong understanding of the Procure-to-Pay process and best practices.
• Proficiency in programming and database management.
• Excellent problem-solving and communication skills.
• Ability to work collaboratively in a team environment.
• Experience with data analysis and reporting tools.
• Vendor management experience is a plus.

RESPONSIBILITIES

• Facilitate quotations and maintain vendor relationships, ensuring seamless contract start-ups and renewals.
• Negotiate favorable terms and conditions with suppliers, securing beneficial agreements for the company.
• Handle central procurement requests for essential items like corporate apparel, name cards, stamps, and letterheads.
• Engage with both new and existing vendors, facilitating smooth purchase procedures.
• Oversee office supply requisitions, including consumables, stationery, furniture, and printed materials.
• Assist in procuring IT hardware and software for divisional needs. 
• Monitor and track expenditures related to procurement activities, ensuring financial compliance and resource optimization.
• Coordinate with relevant centresto determine inventoryneeds.
• Participate in cost-benefit analyses procurement decisions.
• Any other duties assigned by Management.

• Diploma / Degree in Business Administration/ Procurement/ Supply Chain Management or equivalent
• At least 2 years of relevant experience.
• A team player with good interpersonal and organization skills
• Outstanding verbal, written, and interpersonal communication skills.
• Ability to multi-tasks under tight time frames with minimum supervision
• Strong attention to detail and can work efficiently and accurately.
