Summary

This position is responsible for sourcing equipment, goods and services and managing vendors. He/She has to act professionally in all activities involved in obtaining materials at minimum costs.

Job Responsibilities

• Obtain quotations and ensure that it includes freight and delivery to the Hotel.
• Buy without prejudice, seeking to obtain the maximum ultimate value of each dollar of expenditure.
• Co-operate with all organizations and persons engaged in activities designed to enhance the development and standing of purchasing.
• Keep records of a purchasing development such as Purchase record, Vendor Record, Blueprint and specification record, print forms record
• Provide reports based on market research/surveys, price fluctuations, comparative analysis of prices, etc.
• Cultivate a sound supplier relationship.
• Prepare and analyze financial planning for both short-term and long-term.
• Prepare annual budget and compare actual results with the projected. In addition, also investigate discrepancies.
• Prepare cash and fund flow, including planning for cash management.
• Manage bids received across suppliers.
• Attend all briefings, meetings and trainings as assigned by management.
• Perform other duties as directed by the management.

Qualifications / Requirements

• Minimum 3 years of experience in Purchasing/ Procurement, preferably in F&B or Hospitality.
• Projects professional image at all times through personal presentation / interpersonal skills.

Duties:

Full spectrum of purchasing process; receiving requestions forms, sourcing quotations, issuing PO, co-ordinating delivery, reconciliation of DO and POs and liaising with accounts for payment.

Responsible for sourcing and procurement of materials/equipment, equipment rental, other services required by projects at the most competitive price and acceptable quality locally and overseas.

Strong interpersonal, communication, persuasion and analytical skills in reviewing quotations, able to apply terms & conditions of quotations to specific contexts and analyse accordingly.

Perform clerical duties such as filing, sorting, and general admin support.

Other ad hoc duties assigned by management.

Job Requirements:

Must be able to converse in Mandarin (need to liaise with China counterpart).

At least 2 years of relevant working experience in Construction Industry will be an advantage.

Proficiency in Microsoft Office. High level of competence in Excel will be favoured.

Purchasing Officer – 5 Days

Job Responsibilities:

· Source and assess potential suppliers for instrument components, materials, and procurement products locally and overseas.

· Identify and evaluate new suppliers while reviewing existing suppliers.

· Communicate with suppliers and place orders for high-quality products and materials.

· Maintain positive supplier relations, negotiate pricing, payment terms, and lead times, ensuring on-time delivery.

· Collaborate with suppliers on delivery scheduling, quality issues, component specifications, and certification requirements.

· Arrange training for engineers with suppliers as needed.

· Monitor & manage project costings closely to achieve cost savings.
