JOB DESCRIPTION

The job-holder is responsible for administering the purchasing activities and ensuring that all purchases are made and delivered as per stakeholders' requirements.

ROLE AND RESPONSIBILITIES

Operational Management

• Enter and process Purchase Request and Orders
• Support in any new system implementation and migration of Purchase Request & Orders as and when required
• Ensure data accuracy and integrity are maintained in the system
• Process the purchase orders by liaising with suppliers and stakeholders
• Track the status of requisitions, contracts, and orders
• Submit advance payment/deposit request to Accounts Payable in SAP
• Manage credit card purchases and payment
• Ensure all stakeholders and/or suppliers pertaining to queries about order status, changes, or cancellations are responded
• Lead in the sourcing process locally and overseas for new goods not supplied by regular principals/suppliers
• Manage the air and sea freight and liaise with forwarders on services and costs
• Check shipments when they arrive to ensure that orders have been fulfilled correctly and that goods meet specifications
• Manage the local and overseas purchase inquiries from stakeholders
• Lead process improvement initiatives for the purchasing function
• Manage the Purchasing Executive to meet stakeholders' requests
• Reviewing and reconciling all of the transactions related to procurement activities for month-end closing/year-end closing with Accounts Payable.

Procurement and Control

• Ensure all purchase requests are approved within mandated guidelines
• Review requisition orders to verify accuracy and specifications
• Monitor contractor performance, recommending contract modifications when necessary
• Analyse and reporting of purchasing activities and budget balances

Administrative

• Generate RFQ proposals, requirements documentation, and tender documents if needed
• Submit administrative reports as requested by the Manager or Senior Management
• Support school activities when required
• Perform any other duties as assigned by the Manager/Senior Management

QUALIFICATIONS AND SKILLS

• Minimum Diploma qualification
• More than 5 years of relevant purchasing/administration working experience
• Required lifting, moving, and pushing of heavy/bulky goods from time to time
• Working experience in the education industry is preferred
• Knowledge of procurement methods and procedures of a centralized purchasing function
• Knowledge of the ERP system SAP S4 Hana is preferred
• Possess good IT skills and knowledge. Proficient in Google Workspace and Microsoft (MS) Applications.
