The Procurement (FMCG), for both local and international markets, is responsible for sourcing, evaluation and procurement of food supplies to ensure optimal cost-saving in purchases and business efficiency, as well as to ensure uninterrupted fulfilment to the Company.

Key Responsibilities

Issue request for quotation to suppliers for new items

Issue Purchase Orders to suppliers

Process and verify invoices

Source for appropriate samples and products with the best possible pricing and payment terms by manner of quotation from suppliers

Be up to date with new and existing products and suppliers’ information which are relevant to the purchaser’s discipline or area of work

Monitor and check the quality of stock upon arrival, Reject, if necessary

Update inventory system upon new stock arrival

Generate reports, as required

Perform any other ah-hoc duties as required

1. AUTHORITY

• In charge of the operational procurement process for ship’s requirements.

2. GENERAL RESPONSIBILITY / TASK DESCRIPTION



▪ Negotiate / communicate with suppliers specifying quality, quantity, and delivery schedules

▪ Schedule, arrange, and follow-up on logistics to ensure cost effective and timely delivery of

items on board

▪ Monitor schedules of the assigned group of vessels to optimize deliveries on board

3. EXECUTION

▪ Processing ship’s requisitions via the defined in Company Procurement procedures

▪ Evaluate bids and make recommendations based on commercial and technical factors

▪ Create and send purchase orders after approval

▪ Prepare items for shipment, arrange for transportation of product and coordinate shipments of

supplies to ships

▪ Update good receipt for each order

▪ Processing of invoices belonging to the orders she/he has created and/or are related to her/his

group of vessels

▪ Liaise between suppliers, relevant internal departments and vessels

▪ Other procurement tasks as delegated by the Procurement Manager

▪ Interacts with ships to identify and meet requirements / problem resolution and to accommodate

short lead-time orders

▪ Request and process vessel feedback on quality and timing of deliveries of goods and services

▪ Provide information to the Procurement Manager on various monthly / weekly reports as

relevant

▪ Coordinate with appointed freight forwarder and monitor stock list at regular intervals

▪ Ensure that Procurement policies and standard procedures are adhered to at all times

• The Procurement Executive reports to the Procurement Manager.

• Degree, Diploma or equivalent education with at least 2 years experience in Maritime industry

Job Purpose:

The Procurement Officer will oversee and execute procurement activities with efficiency and precision, ensuring full compliance with the school’s procurement policies and government regulations.
