Main objective of the position

In this role, the POSM Procurement Specialist will be part of a vibrant LVMH Fragrances & Cosmetics Singapore Logistics Team who is responsible for the success of the downstream supply chain. In this role, she/he will have the opportunity to be fully immersed in the on-the-ground operations critical to order fulfilment and be given the responsibility to tackle dynamic POSM procurement issues that would elevate critical and creative thinking.

Internally, the POSM Procurement Specialist works closely with HQ Purchasing & Procurement teams based in France, Supply Planners, Customer Service, Inventory and Logistics teams based in Singapore to consolidate information, coordinate, and align actions, challenge the different parties, and raise alerts whenever necessary. She/He reports to the Product Configuration Assistant Manager.

MAIN RESPONSIBILITIES

1. Be responsible for the sourcing, procurement, integration of the new articles in our system and stock management to ensure product availability

• Set up and update master data required for production in our ERP
• Follow the process of new product launch with HQ
• Launch and track orders according to agreed lead time with our Asians suppliers.
• Manage the relationship with the suppliers and negotiate with them to get products on time (advancement or postponement)
• Act as a liaison between HQ purchasing and procurement teams and suppliers to ensure worldwide consistency of orders

1. Guarantee an optimum level of service to the markets for Merchandising references

• Communicate needs projection to suppliers on a monthly basis
• Analyze reporting alerts and launch corrective actions
• Escalate accurate and timely information to Supply Planning regarding availability or risks
• Manage changes in requirements (in collaboration with the Business Demand Manager in Singapore to get feedback on market requirements)
• Raise alert to HQ or to Supply Planning team when it is necessary and provide detailed analysis of the situation and risks (out of stock risk or overstock risk)

1. Carry out continuous improvement actions

• Follow up on all activities monitoring tools (out of stock report, OTIF suppliers, etc…) and launch corrective actions
• Analyze monthly KPI (service level, inventory level, OTIF supplier, supplier contract, SOH value vs target, etc...) to ensure cost savings

1. Have clear knowledge of M&E material.

2. knowing what's the special requirement for all M&E material in Singapore

3. Have contact person of suppliers of each M&E material in Singapore or overseas and knowing which brand is cheaper

4. Organize project material requirements, project drawings and send to different supplier to get quotation, and prepare price comparing list for PM to checking.

5. Book meeting with different supplier for price discuss and design proposal discuss.

6. Collecting COC, test report, catalogue of the confirmed brand and do the submission document and submit to consultant

7. Coordinate with supplier to get the lowest price to meet project budget.

8. Searching and purchasing urgently needed materials for the project in the local market in Singapore according to the project requirements.

9. Arrange customs clearance of materials purchased from overseas

10. Preparing materials submission tracking list and material purchasing tracking list for PM checking every week.

11. Issue PO to suuplier base on the quotation and PM signed material request list.

12. Collecing material request list from engineer before purchasing, and make a summary material request list and follow up the material purchasing status.

A brief summary of your job responsibility:

Manage Daily Procurement Functions

Processing of Ordering

• Receives Market List from the Executive Chef and processing the Market List ordering on daily basis.
• Ensures approved purchase requisitions are timely with the creation of Purchase Orders for F&B Supplies / Stewarding Supplies / Housekeeping Supplies and other general supplies.
• Reconciles Purchase Orders and Invoices to ensure prices and quantities are correct with Suppliers.

Handling User’s Request, Sourcing. Request for Quotation

• Responses to queries from end users/suppliers with regards to no stock situation.
• Sources for suppliers for Purchase Requests that are new.
• Requests for quotations as well samples for evaluation.
• Effectively source for suppliers and to obtain the best possible quote from the suppliers for all items, without compromising on minimum quality and standards.
• Negotiate with selected suppliers and obtain competitive quotations.
• Attend to complaints and feedback from user’s department on purchases and to take appropriate actions with suppliers that provide these products which do not meet the desired quality.
• Maintains and keeps track of all contract/RFP/RFQ documentations for audit control.

Food Safety Management

• Manages and request for formal documentations from Suppliers in compliance to HACCP standards of the hotels inclusive of HALAL certification.
• Responses swiftly to feedbacks / complaints (from end users / suppliers / guest in accordance to HACCP Procedures).
• Tracks and monitors all expiration date of licenses as well as organization certification for all Suppliers that are partner with the hotel. Arranges with Suppliers for site audit inspection as and when needed by Director of Finance & Business Support, Purchasing Manager as well as Director of Food Safety.
• Ensures Corrective Action Report are sent out immediately to Suppliers should a complaints raised by Food Safety
• Ensures substitution of supplies are replace immediately for operation use
• Ensures Suppliers that works with the hotels are Food Safety compliances
• Ensures Suppliers that SFA approved Vendors that met the grade criteria
• Ensures all licenses and certificates are approved by authorities are valid
