The Procurement Coordinator/Executive is responsible for participating in routine sourcing and purchasing activities to obtain the materials, equipment and services to deliver on projects involving ships, rigs and/or conversions. He/She able to translate project requirements into specifications for materials, equipment and services to procure.
- Sourcing new products/vendors/suppliers and get their support to provide quotations
- Comparison and negotiation of price
- Ensuring products and supplies are high quality
- Purchasing of materials for operations and ensuring sufficient stock for projects
- Liaising with vendors to ensure deliveries lead on time and in proper condition
- Coordinate logistics and movement of overseas orders
- Liaising with freight forwarders and managing freight costs and timing
- Estimating and establishing cost parameters and budgets for purchases
- Maintaining record of purchases, pricing and other important data
- Following up with vendors/suppliers on orders
- Matching of vendor/supplier’s invoices with supporting documents (MRF, RFA, PO & DO)
- Creating and maintaining good relationships with vendors/suppliers
- Generation of purchase order, data entry for the application of ITQ on GeBIZ, creation of contacts, etc.
- Facilitate other procurement related administrative activities as required by purchasing supervisors.
- Responding to emails, phone enquiries, and handling walk-in vendors/suppliers and recommending products
Other ad hoc duties as assigned
He/She should be comfortable engaging and interacting with vendors and other external parties, to fulfil his/her responsibilities in coordinating vendor selection processes, maintaining vendor contract records and databases, and following up on vendors' deliverables.
- Minimum Diploma in business administration certifications.
- Minimum 2 year(s) relevant working experience in F & B Industry.
- Solid knowledge and understanding of procurement processes, policy, and systems.
- Good communications and work independently.
- Ability to multitask, hardworking and meticulous with positive attitude.
- Demonstrates basic functional, technical and people and/or process management skills as well as customer (external and internal) relationship skills.
Required Skill(s): Proficient in computer skills (MS Office), excellent verbal and written communication skills
- Coordinate procurement operations with vendors and stakeholders.
- Gather feedback on the effectiveness and efficiency of current sourcing strategies.
- Highlight sourcing issues for management's action.
- Maintain procurement database and documentation.
- Maintain sourcing documentationin the procurement management system.
Required Language(s): English and CN (to liaise with chinese speaking associates)
