DUTIES AND RESPONSIBILITIES:

• Execute procurement duties such as raising Purchase Requisition (PR) and Purchase Order (PO) associated to equipment, goods and service.
• Track and report key functional metrics to reduce expenses and improve effectiveness.
• Create purchase requisition & order using the Navision system
• Interact with suppliers on a daily basis to ensure orders are delivered same day/next day as needed. Keeps records for all orders processed and obtains confirmation from vendors.
• Works with Finance department to research/resolve invoice discrepancies.
• Perform quality checks on stored inventory and perform stock take and flag any discrepancies based on the company’s standards.
• Practicing and enforcing the company's procurement policies and procedures.

JOB REQUIREMENTS:

• Minimum GCE “O” level or Diploma in Business Administration, Supply Chain Management or equivalent work experience.
• Fresh graduate is welcome
• Good working knowledge of purchasing strategies
• Excellent communication, interpersonal and negotiation skills
• Strong analytical thinking and problem-solving skills
• Proficiency in Microsoft Office and Navision system
• Ability to multitask and prioritize daily workload
• Working experience in Food & Beverage will be advantage

Job Description:

• Raise purchase order for sales order with job number.
• Ensure timely PO execution by follow up the lead time to meet sales and production needs.
• Ability to analyze bills of material and drawings to understand key requirements for procurement.
• Ensuring technical information in accordance with datasheet for new item prior to PO issuance.
• Consolidate calibration certificate and software license information.
• Support internal coordination between different departments.
• Liaison with vendors for timely delivery and monitor all purchases to avoid any shortages, overcharges and defects of materials
• Lead in conducting periodic price negotiation with suppliers to ensure competency in cost for materials/services.
• Conduct supplier performance review on a regular basis to ensure that suppliers are conforming to organizational expectations and requirements.
• Source new suppliers for materials and services, expanding the supplier base for current and future needs.
• Obtain competitive quotes and drive cost-reduction initiatives.
• Any duties as assigned.

Requirements:

• Diploma or bachelor’s degree in engineering.
• At least 3 years’ experience in procurement engineering.
• Possess strong sourcing and negotiation skills.
• Meticulous and strong in numbers.
• Accountable team player, proactive, problem solving, resourceful and analytical abilities.
• Strong interpersonal and communication skills to work productively and collaboratively with multi-functional teams to achieve business goals.
• Able to work independently and multitask.

The purchasing trainee will be responsible for:

• Administrative work
• Suppliers panel management
• Launch of social audit and follow up on the corrective actions plans
• Some purchasing projects => Biddings, negotiations and awarding projects (under direct responsibility of the Purchasing Manager)
• Possibly some contracts settlement and negotiations (under direct responsibility of the Purchasing Manager)
• Prepare reports – Analysis

The purchasing portfolios (segments/families) covered will be depending on the workload at the given moments.

In parallel, he/she could possibly participate in the long-run strategic projects such as :

• Regional biddings on key items
• Sourcing
