Job Type: Part-Time (3 days per week, 3 hours per day)

Key Responsibilities:

• Conduct regular stock checks to ensure inventory levels are accurate.
• Record inventory data in the system promptly and accurately.
• Report discrepancies or issues with stock.
• Assist in ensuring that stock is properly stored and organized.
• Monitor stock movement and assist in managing reorder levels.

Qualifications:

• Previous experience in inventory management or a similar role is preferred but not required.
• Strong attention to detail and accuracy.
• Basic computer skills and ability to use inventory management systems.
• Advantage of Knowledge in Marine Navigation Equipment.

Responsibilities:

· Reviews and processes purchase orders

· Maintains records of goods ordered and received

· Evaluates vendors based on quality, timeliness, and price to meet high quality standards

· Schedules deliveries and proactively ensures timely fulfilment of orders within strict deadlines

· Collaborates with fellow Store managers/executive to monitor inventory and determine supply needs

· Ensures quality of procured items and addresses problems when they arise.

· Stays ahead of trends in procurement

· Executes and collates documents for billing and payment

· Generate monthly costing report

· Prepares and presents monthly WIP meeting minutes

· Effectively handles ad hoc assignments or tasks as required

Responsibilities

Support and work closely with the following Teams in terms of Procurement:

(a) Property Management Team (PMD)

Eg Assist PMD in sourcing and procuring spare parts for building maintenance, call quotations for ad-hoc building repair works and maintenance contracts, etc.

(b) Project Management Team (PM)

Eg Assist PM in sourcing, call quotations and appoint renovation contractors, materials suppliers, etc.

(c) Office Administration Team (Admin)

Eg Assist Admin in sourcing and procuring stationery, bottled drinking waters, festive gifts for customers, etc.

· Vendor Sourcing and Pre-Qualification

(a) Source and assess suitable vendors.

(b) Conduct vendor pre-qualification exercise.

· Conduct Quotation/Tender Exercise

(a) Receive purchase request (PR), or quotation/tender request from colleagues.

(b) Prepare quotation / tender invitation letters and issue to shortlisted vendors.

(c) Prepare tender documents (with reference to past tenders and new requirements).

(d) Call for quotations or conduct tender exercise.

(e) Collate quotation/tender clarification questionnaires from PMD/PM and issue to participating vendors.

· Negotiations and Appoint Vendors

(a) Compare quotations received, negotiate pricing and tabulate cost comparison table for PMD/PM.

(b) Prepare and issue Purchase Orders (PO), Works Orders (WO) or Letter of Award (LOA) timely.

· Others

(a) Filing and storage of related documents.

(b) Any other ad-hoc duties assigned by the company.

Requirements

Responsibilities

• Develop and maintain strong relationships with suppliers, fostering a collaborative and productive partnership.
• Evaluate supplier performance regularly and address any issues or concerns that arise.
• Collaborate with internal stakeholders to understand their procurement needs and provide guidance on sourcing strategies.
• Prepare and analyze procurement reports to identify cost-saving opportunities and make data-driven decisions.
• Manage the end-to-end procurement process, including requisitions, purchase orders, and delivery tracking.
• Maintain accurate and organized procurement records and documentation.

Requirements

• Diploma or Bachelor’s degree in business, Supply Chain Management, or a related field. Master's degree is a plus.
• Proven experience in procurement or sourcing, preferably in a similar industry.
