Job Summary:

We are currently seeking a detail-oriented and organized Purchasing Admin Executive to join our team. In this role, you will be responsible for managing and assisting with the procurement of goods and services for our organization while ensuring that we comply with all relevant company policies and procedures. You will work closely with our procurement team to process purchase orders, track deliveries, and maintain accurate records of all purchases. The ideal candidate for this position will be a strong communicator with excellent multitasking skills and a passion for providing exceptional customer service.

Responsibilities:

• Assist with the procurement of goods and services required for the organization, including vendor research, obtaining quotes, and preparing purchase orders.
• Ensure that all purchases and procurement activities are in compliance with company policies and procedures.
• Keep accurate records of all purchases and related documentation.
• Communicate with vendors to track deliveries and resolve any issues or discrepancies.
• Work collaboratively with cross-functional teams to ensure timely and accurate delivery of goods and services.
• Participate in supplier evaluation and selection processes.
• Assist with budget tracking and cost analysis as required.
• Continuously monitor and improve purchasing processes to increase efficiency and reduce costs.

Requirements:

• 2+ years of experience in purchasing, procurement, or a related field.
• Strong organizational, multitasking, and time-management skills.
• Excellent attention to detail and accuracy.
• Strong written and verbal communication skills.
• Excellent interpersonal and customer service skills.
• Proficiency in Microsoft Office and experience with purchasing software.
• Ability to work independently and in a team environment.
• Knowledge of procurement best practices and industry trends.
• Ability to analyze data and provide insights to improve purchasing processes.

Responsibilities:

• For some of our brands, you have to manage the entire process in the planning of procurement, supply chain activities and inventory control
• Prepare Purchase Orders and facilitate customs clearance and all necessary arrangements for smooth inventory replenishment
• Work with sales team and analyse demand pattern to forecast orders and stock levels in warehouse
• Liaise with logistics suppliers to ensure the best quotations for supply chain services
• Manage relationships with vendors, suppliers and contractors that facilitate smooth flow of logistics and storage services
• Perform other duties as may be assigned from time to time
