Job Description

• The Warehouse Supervisor is responsible for overseeing the daily operations of the warehouse,

Daily Operations Management:

Stock Monitoring & Reporting:

• Monitor inventory for missing or lost items and report any discrepancies to management promptly.
• Coordinate the receipt, storage, and dispatch of products and materials, ensuring accuracy and timely processing.
• Generate product labels as per customer requirements and ensure correct labelling for outgoing shipments.

▪ Monitor vendor performance to ensure compliance with contractual obligations and SLA.

▪ Conduct regular reviews of vendor services to perform due diligence on vendors.

▪ Administer a central contract database to ensure adherence and compliance to regulatory and Head Office policies, DOA and agreed procedures.

▪ Act as point of contact for vendor liaisons for system malfunctions and rectification

▪ Support the tracking, measurement, reporting and evaluation of supplier performance through internal and external governance meetings

▪ Build and maintain relationships with stakeholders and both internal and external service providers.

Vendor Risk Management and Outsourcing

▪ Facilitate vendor assessment and registration to ensure due diligence is conducted and approvals are in place before the vendor on boarding

▪ Provide support to BUs on Inherent Risk Questionnaire(IRQ) and Due Diligence Questionnaire (DDQ) process

▪ Facilitate name screening checks

▪ Review IRQs and DDQs submitted to determine the Engagement level risk

▪ Maintain an updated register of the onboarded vendors, required documentations and due diligence evidences in compliance to regulatory requirements.

Record management

▪ Assist with the record management process of the branch and work with record management vendor to ensure up to date accurate record of the items archived.

▪ Work with Group Corporate Services to implement the record management policy for the branch

Office management

▪ Organise and coordinate office administration and procedures to ensure organizational efficiency and safety and provide support to ensure adherence to expected service levels.

▪ Oversee facilities upkeep and maintenance including liaison with contractors for improvements and rectifications.

Inventory Management (including uniform)

· Track asset movement and labeling of assets

· Record all receipts into Store Keeping records and computer system

· Ensure all store issues are supported by Request Form and recorded into storekeeping records/computer system to facilitate cost of supplies issued chargeable to the requisitioning department

· Maintain store record to account for inventory control and to ensure that stock out is minimized

· Practice First-In-First-Out and monitor expiry date at regular interval

· Organize the store properly to ensure that goods are properly kept and identified and easily accessible

· Conduct clearance exercise at regular interval and raise Condemnation Form to document disposals

· Assist where required in management, delivery and/or collection of goods or donations

Preparation of Events

· Organize and arrange tables and chairs requested for training, function, talk etc.

Relief Duties

· Cover the Reception counter during the absence of the Assistant - Admin

Administrative and Other Work

· Participate as a member for the Company Emergency Response Team (CERT)

· Any other duties as assigned by Executive, Senior Manager or Head of Centre
