Main responsibilities:
Support the fleet order cycle to enhance business performance and ensure sustainability while ensuring vessels get what they need, when they need it, where they need it, to operate safely, cost effectively, while optimizing commercial performance. He/She shall further:
· Perform purchasing duties for spare parts and supplies for vessels, warehouse and office.
· Administrate the supply chain process by receiving approved Requisitions, sending Requests for Quote (RFP), Processing approved bids to Purchase Order, and matching delivery receipt to Invoice.
· Process new vendor applications, ensure vendors are compliance checked, and select vendors to RFQ.
· Maintain vendor performance records. Interact with Superintendents and ships to identify and meet requirements, to address problem resolution, and to accommodate short lead time orders.
· Schedule, arrange and follow up on logistics to ensure cost effective and timely delivery of items on board.
· Monitor schedules of assigned vessels to optimize on deliveries on board.
· Process invoices in timely manner for all materials and supplies purchased.
· Ensure ship staff update receipt of the goods.
· Provide financial reporting information as requested.
· Evaluate bids to ensure there are competing quotations for comparison.
· Coordinate with appointed freight forwarder and monitor stock list at regular intervals.
· Month end requisition status/plan — a report to be sent to the assigned vessels to update supply requirements and to determine which items must be purchased at the next port of call.
· Other duties as assigned.
Qualifications
The candidate should have a minimum of 2 years' experience in a similar position within a shipping company, preferably in the dry bulk sector.
