This is a full time role for a Sea Freight Executive located in Airport Cargo Road. Our clients are in the Freight Forwarding Industry. You will be responsible for coordinating sea import shipments, managing import/export files, updating shipment statuses, and handling customer notifications. Responsibilities include processing invoices, checking shipment documents, and arranging transportation. You will communicate with clients, agents, and overseas offices, ensuring accurate data entry and compliance with company policies. Key tasks also include customs permit declarations and maintaining strong client relationships. Additionally, you will recommend process improvements and handle any ad-hoc duties.

Job Description

Responsibilities include but are not limited to the coordination of Sea Import shipments such as, opening import and export files using Sysfreight software, maintaining internal documentations, monitoring and updating statuses. Advising customers of shipments Arrival, arrange deliveries, process invoices (accurate currencies and verify shipment weight and volume). Correspondence with e-mail queries from overseas offices/agents and clients. Ensuring accurate data entry and excellent communications are maintained in a timely and efficient manner.

Key Responsibilities

• Declaration of Import and Export Customs permit

• Practice due diligent to ensure Bill of lading, invoices and all documents relating to shipment movements are properly checked

• Organise proper transportation required for pick-up or delivery

• Ensure all work is carried out according to our policy and procedures

• To communicate through emails, telephones and other forms of communication professionally

• Review of draft / executed financing documents such as letters of offer / facility agreements & security / mortgage documents, validate draft financing and security documents against approvals, post acceptance documentation checks, preparation of instructions to lawyers / valuers / insurers and etc.
• Perform the daily BAU operations by supporting Business Unit’s post approval documentation processes till redemption / full repayment.
• Perform roles as the facility agent, security agent and/or account bank in syndicated financing. Activities including but not limited to active participation in negotiation of the legal documents, conditions precedent collation, conditions subsequent and covenant tracking, management of facility life cycle and information dissemination.
• Liaise with Business Units and external parties such lawyers / valuers / insurers.
• Perform checks to ensure legal and security documentation are completed, conditions precedent is fulfilled prior to activation of credit facilities, monitoring of conditions subsequent and ensure that the legal and security documents are being custodized.
• In charge of preparing letters / reports, updating of registers and custodians of documents.
• Manage day-to-day business transactions to ensure that the agreed turnaround time with the business is met
• Ensures accuracy, efficiency and meets the agreed turnaround time with the Business Units while minimizing operational risks and losses.
• Able to contribute to process improvements and participate in ad-hoc projects
