We are seeking an individual to join our team as a Receptionist at our training centre located in town (Somerset). The ideal candidate will play a crucial role in ensuring the smooth operation of our training facility and providing excellent support to our learners. This position involves a variety of tasks ranging from facility management to student interaction.

Responsibilities:

Facility Management:

- Ensure the training center is tidy and all rooms are prepared for the next day's classes.

- Monitor and replenish supplies as needed.

Daily In-processing of Learners:

- Welcome learners in the morning and facilitate the smooth check-in process.

- Provide necessary information and assistance to learners as they arrive.

Student Registrations:

- Assist learners with the registration process when they visit the center.

- Manage and organize student records with accuracy.

- Promote and recommend courses to potential and existing learners for new courses to enroll in

Backend Enrollment Processing:

- Process student enrollments in the backend system.

- Follow up on payment status and communicate with learners regarding outstanding balances.

Attendance Confirmation and Follow-ups:

- Call learners to confirm their upcoming attendance for classes

- Conduct regular reminder calls to ensure learners are prepared for their sessions.

- Follow up on any attendance-related issues or concerns.

Requirements:

Must be available to work on both Saturdays and Sundays.

Previous experience in a receptionist or administrative role is preferred.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Ability to work independently and as part of a team.

Proficient in basic computer applications.

Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.

2. Conversant in at least two languages, English and a Mother Tongue
3. Proficient in MS office i.e. Word, Excel, Powerpoint.
4. Relevant experience in administration and/or customer service.

1. Attending to School General Office front-desk duties.
2. Handling telephone calls and walk-in enquiries.
3. Receiving in-coming mails / goods deliveries and arranging outgoing mails for posting.
4. Maintaining, updating, and compilation of data.
5. Attend to / assist unwell students.
6. Logistical e.g. taking photos/videos and admin support for school programmes, events or resource preparation.
7. Assist in other general admin duties when assigned.

Job Description

- Perform front desk reception duty

- Handle all incoming calls timely and professionally

- Attend to customers/ walk-in guests/ vendors in a professional and warm manner

- Responsible for all incoming and outgoing mails

- Posting, distribution and sorting of mails, parcels, couriers

- Manage ordering of lunch process from taking orders to vendor payment

- Filing and sorting of overtime request forms and leave related documents

- Entry officer for e-leave on behalf of foreign workers

- Assist on ad-hoc tasks as and when required

Requirement

- Minimum GCE ‘N’ level

- At least 1 - 2 year(s) of working experience

- Computer literate; experience in Microsoft Office
