As the Personal Assistant (PA) to the Finance Director, you will play a key role in ensuring the efficient operation of the finance department by providing high-level administrative and organizational support. This position requires exceptional multitasking skills, confidentiality, and a proactive approach to problem-solving.

Key Responsibilities:

• Diary Management: Schedule and manage the Finance Director's appointments, meetings, and travel arrangements.
• Administrative Support: Handle incoming emails, phone calls, and correspondence on behalf of the Finance Director.
• Document Preparation: Prepare reports, presentations, and spreadsheets as required.
• Meeting Coordination: Organize internal and external meetings, take minutes, and follow up on action items.
• Expense Management: Process and approve expense claims and maintain records of financial transactions.
• Office Management: Maintain filing systems, manage office supplies, and ensure the smooth operation of the Finance Director's office.
• Project Support: Assist with ad hoc projects, research, and data collection as needed.

Skills and Qualifications:

• Minimum Diploma or equivalent qualification in Business Administration, Office Management, or a related field.
• Excellent time management and organizational abilities.
• Strong verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• High level of accuracy and attention to detail.
• Ability to handle multiple tasks and solve problems efficiently.
• Maintain confidentiality and discretion in handling sensitive information.

Salary:

$10/h

Working Hours:

• 5.25 days
• Mon to Fri, office hours
• Alternate half Sat (morning)

Requirements:

- Min Diploma in HR or Business Administration

- Able to start IMMEDIATELY or on short notice

- Detail-oriented and an initiative for problem solving
