Duties and Responsibilities

· Load, unload, transport and stack cargoes in/out of warehouse/designated storage area, or on/off vehicles by operating forklift truck or any other warehouse materials handling equipment.

· To follow and comply with all safety procedures and guidelines in the warehouse and storage areas when operating forklift trucks or any other warehouse equipment.

· Utilize the WMS (or equivalent) to perform daily warehouse duties which includes but not limited to handling inbound, outbound operations, inventory management, material handling and housekeeping responsibilities, including receiving, picking, packing and shipping

· Monitor and ensure the integrity of data within the WMS, ensuring accurate inventory levels and locations at all times, and daily activities are logged into the system.

· Execute system-directed tasks such as cycle counting, and inventory adjustments to optimize inventory accuracy and availability.

· Extract relevant inventory data using WMS to address customer queries e.g inventory level) and to support subsequent analysis by management e.g Inventory cycle count)

· Operate and maintain warehouse equipment such as barcode scanners, mobile devices used in conjunction with the WMS.

· Serve as the primary user and administrator of the WMS for updating inventory, goods location and job statuses.

· To perform tasks as and when assigned by his immediate superior or the Warehouse Manager.

We are seeking a motivated and detail-oriented individual to join our team as an HR / Admin Assistant. This role is ideal for someone who is eager to learn and contribute to both human resources and administrative functions. This position is open to Singapore Citizens and Singapore Permanent Residents only.

Key Responsibilities:

• Assist in recruitment activities.
• Support onboarding and offboarding processes for new hires and resigned employees.
• Maintain and update employee personnel files and HR system records.
• Prepare and manage daily manpower and attendance reports.
• Assist with Work Pass administration, such as arranging medical examinations and card registrations.
• Support payroll administration, including verifying clocking data, overtime hours, and project allocations in the Time Management System (TMS).
• Oversee and manage leave applications and medical claims through the Employee Self-Service (ESS) portal.
• Administer training programs, including tracking certificate validity and coordinating training registrations.
• Organize and coordinate company meetings and events.
• Liaise with clinics for industrial medical examinations.
• Oversee dormitory administration, including monitoring resident movements and conducting inspections.
• Administer Jurong Island pass applications and renewals.
• Monitor and manage pantry and office supplies, including stationery and toiletries.
• Assist with procurement tasks, such as issuing Purchase Requisitions and Purchase Orders for office supplies.
• Handle general office administration, including answering calls, distributing mail, and updating phone and email directories.

Requirements

• Minimum Diploma in Human Resources or relevant discipline
• Fresh school leavers are encouraged to apply; training will be provided.

The Executive Assistant will provide high-level administrative support to the CEO and other Executive Committee members. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative and organizational skills as well as the ability to maintain a realistic balance among multiple priorities. This position has extensive access to confidential information available to the CEO. The position holder is expected to maintain the highest level of trust and confidentiality as stated in the employment contract and company policies.

The incumbent will undertake any or all of the following and has authority for:

· Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.

· Schedule and organize meetings and appointments as well as keep track and remind CEO of daily important tasks, deadlines and events.

· Organize complex calendars and schedules - resolving any scheduling issues

· Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.

· Arrange travel, visas, transport and accommodation for executives and prepare expense reports.

· Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.

· Communicate well at all levels and able to meet deadlines.

· Able to function well in a high-paced environment; performs additional duties as assigned by executives.

· Draft and prepare correspondence for internal announcements, board meetings and organizations that the executive is involved with.

· Assist in preparing and managing presentation materials and reports.

· Respond to emails/texts/phone calls, with contact outside normal business hours.

· Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.

· Assist with planning events, such as sourcing venues and making reservations.

· Support branding activities for internal/external communications including website presentations and corporate identity

· Assist to manage vendors relating to administrative matters

· Provide support to Group Level Initiatives and Programs

· Comply with all applicable quality, health, safety, security and environmental regulations

· Perform other related duties as assigned or indicated by responsibilities
