Credit Cards

• Ensure that all credit card transactions are verified for completeness and the accounts formally reconciled on a daily basis.
• Calculate and accurately post credit card commissions.
• Promptly investigate all credit card disputes, liaising with the Front Office and the banks.
• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.
• To preform monthly credit card payment reconciliation.
• Ensure the operation procedures are in accordance with PCI-DSS compliances.

Month End

• Accurately process all Monthly Statements, ensuring that they are mailed promptly.
• Ensure that all Month End reports are printed and forwarded to the Director of Finance to prepare the balance sheet reconciliation. 

Credit Control Duties:

Credit Applications

• Process credit applications within 10 working days, ensuring that clients are notified promptly and professionally.
• The credit worthiness of all applicants is formally checked and approval must be received from the Financial Controller. 
• Review the credit worthiness of all existing non-Accor approved clients on a yearly basis.

City Ledger

• Ensure all invoices / statements are issued on a timely basis.
• Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay.
• Implement effective inquiry response procedure for guests and management. 
• Ensure all travel agent commissions are timely processed and paid. 
• Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.
• Conduct credit meetings at least once a month.
• Attend Credit Managers Group meetings to keep up to date knowledge of credit risks. 
• Appropriately manage all delinquent accounts, liaising with debt collectors where needed.
• Review and recommend accounts to be written off, providing appropriate documentation.

Guest Ledger and liaison with Front Office

• Liaise between Accounting Department and Front Office.
• Ensure PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date.
• Review the Advance Deposit ledger to ensure all the balances are either current or for future date.
• Inform Front Office Manager of any deviations from policy by Duty Managers, or Front Office Cashiers that may come to his/ her attention.
• Keep a record of accounts receivable, and subsequently issue invoice and statement promptly. Chase payment whenever it is not received on time.
• Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.

• At least 2 years’ experience in beauty spa environment and services

Responsibilities:-

• To conduct / plan safety inspection to verify safety provision and provide recommendations for improvements conforming to worksite rules and regulations to comply with statutory requirements
• To investigate any accident, dangerous occurrence or occupational disease that occurred within the workplace and provide recommendations for countermeasures to prevent recurrence
• Implementation and revision of Risk Management
• Liaise with Ministry of Manpower on safety issues and safety statutory requirements
• Establish, update, maintain, and implement the Safety & Health Management System
• To conduct relevant safety training needs e.g. Safety induction, Permit to Work, Safe Work Procedures etc.
• Identify training needs for safety personnel and recommend the required training to ensure competency of the workforce.
• To conduct Safety Committee Meeting to address safety issues and ensure a safe working environment for all personnel
• Ensure in-house rules and regulations are implemented and enforced diligently at the worksite.
• Coordinate safety promotional activities to develop and maintain safety awareness among all personnel
• Evaluate, select and control sub-contractors to ensure awareness of their safety obligations on site
• Review, assess and maintain the Safety Data Sheets
• Ensure storage, movement, use, and disposal of hazardous substances and chemicals are well managed
• Ensure the register of hazardous substances is up to date
• Continuously review the emergency procedure and update.
• Manage and control situations arising during an emergency
• Plan and implement occupational health programs to protect workers from health hazards such as noise, dust, toxic gases, vapors and radiation
• Coordinate safety audit and ensure the closure of all findings
• Coordinate the preparation and submission of all required safety reports e.g. Integrated Management System (IMS) Quarterly report, Risk Assessment review
• Updates on codes of practice & safety literature and circulates information to each level of employees
• Monitor the Safety Performance of the project as set by the company policy and objectives e.g. Accident Frequency Rate (AFR), Accident Severity Rate (ASR) etc
• Person in charge of the workplace on environmental regulations pertaining to the Environmental Public Health (Registration of Environmental Control Officers) Regulations 1999
• Person in charge of the workplace implementation and revision of Environmental Management in the worksite
• Act as an Earth Control Measures Officer (ECMO)Ensure safety practices and housekeeping is to maintained to the highest standard

• Must possess registered MOM WSH Officer license
• Min 3 years’ WSH Officer experience in Building projects

The Office Administrator ensures the smooth and efficient operations of the Corporate HQ working and meeting spaces by managing administrative tasks, coordinating office activities, and supporting team members.

This role involves overseeing daily operations, maintaining organisational systems, and serving as the primary point of contact for office-related needs. The role also supervises the cleaning of the HQ space to ensure a conducive environment for staff and users.

The Office Administrator also supports the S&T Division leadership in administrative tasks such as tracking of Division expenditure, updating of staff data and procurement for the Division. This role will also provide administrative support the Shared Services Division as and when needed.

Roles & Responsibilities:

Office Administration

• Supervise cleaner/cleaning vendor to ensure the HQ spaces and workstations are clean, tidy and functional at all times.
• Maintain office supplies inventory for HQ spaces and procuring as and when these need to be replenished via established processes and systems.
• Maintain administrative records in relevant online and/or hardcopy repositories, posting and collection of office mail or deliveries as required.
• Coordinate, maintain and update records of HQ office assets where necessary.
• Perform administrative work for meetings when required such as setting up of presentation equipment, printing materials and ordering of refreshments.
• Coordinate with relevant colleagues and contractors to ensure timely and appropriate access to HQ office facilities and maintenance/repair of office facilities and equipment e.g. office printer, air-conditioning, etc.
• Ensure plants are watered and rooms aired on a daily basis, as part of upkeeping the office.
• Meeting Rooms Administration

1. Work with cleaning services/cleaner to ensure meeting rooms are clean, tidy and functional at all times.
2. Manage administration of HQ meeting room bookings, ensuring that users use the rooms responsibly and clean up after each use.
3. Ensure that the tables, chairs, boards and other equipment in the 235 meeting rooms are kept in good working condition, and to arrange for repair as and when needed.

• Pantry Administration.

1. Ensure that the pantries in 235 are clean and well-stocked with refreshments, and healthy snacks.
2. Ensure that pantry equipment and fittings such as the refrigerator, kitchen sink, shelves, microwave ovens are cleaned on a regular basis.

• Cleaning Administration

1. Supervise cleaning company/cleaning staff to ensure office and meeting spaces are cleaned on a regular basis, in accordance with the cleaning list provided.
2. Ensure toilets and pantries are cleaned and disinfected on a regular basis to ensure high standards of hygiene for users.
3. Ensure pantries and toilets are well-stocked with paper towels, dishwashing liquid, hand soap, toilet paper, etc.

• Administrative Support to S&T Division

1. Support S&T Division Leadership in accurate tracking of division expenditure and balance.
2. Liaise with Finance department as necessary to support in extracting necessary financial data for Division Leadership.
3. Support Division Leadership in procurement matters, ensuring to adhere to proper SOPs articulated in agency’s Procurement and Finance Policies and Manuals.
4. Update S&T division repository of staff data (birthdays, addresses) in a timely manner and maintain these records.

• Other assigned duties from time to time

Candidate Profile:

• Diploma in any field or study; candidates with specific administrative qualifications will have an advantage.
• 5 years of experience in an administrative function (eg office administration, HR operations or Finance operations).
• Good written and oral communication skills.
• Able to connect with others and establish efficiency working relationships.
• Up-to-date with technology; proficient with MS Office tools and other IT enabling solutions.
• Good with details, persistent with follow-up and able to keep track of multiple priorities and which need attention.
• Self-starter, resourceful and resilient with a strong sense of responsibility.
