This is an research administrative and operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting research administration, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Assistant Manager/Senior Assistant Manager will be part of the team to support the core duties of the centre:

a) Research and Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre

- The responsibilities would include event planning; liaising with vendors; creation of templates and forms; registration; liaising with participants and logistics arrangements including venue, travel and room bookings; and on the ground support for public seminars, workshops held in person and online

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of report

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complex situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector

• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience

• Experience organising events, in-person and online is a requirement

• Excellent written and oral communciation skills, with the ability to summarise content, prepare slides, reports and content

Job Description

You will be part of the NUS College administrative team working closely with the Vice Dean (Outreach) as well as team leads and team members to oversee, optimise and strengthen administrative processes throughout the Outreach pillar, and provide support in selected outreach efforts. The incumbent will be part of the Planning team, supporting corporate planning activities and events, strategic planning processes, performance reporting, cluster and HQ operations and ad-hoc projects undertaken by the department

MAJOR DUTIES & RESPONSIBILITIES

• Support organizational planning, developmental and implementation activities based on strategic plans. This includes facilitating change management to align stakeholders to the strategic objectives as well as performance measure
• Support the development of strategy map as well as key performance indicators for regular reporting to management and Board. This will include supporting the development of technical documentation for performance indicators and working with data/IT team to implement them as dashboards.
• Prepare minutes and papers for various Management Meetings.
• General administration and implementation of a variety of projects assigned to the department from time to time. This may include organizing events in those projects which would require you to request for quote, negotiate with vendors, program planning and detail logistic planning. It may also require researching for information on the subject matter, discussion with stakeholders to gather inputs and tracking of project with regular summary.
• Support organization development activities for corporate office and cluster to strengthen organization effectiveness and organization health.
• Develop communication materials such as corporate slides, electronic mailers or infographics

JOB REQUIREMENTS

Education/Training/Experience

• Degree in any discipline
• Excellent writing and communication skills is a must
• High proficiency in using Microsoft Word, Excel, PowerPoint, SharePoint and comfortable with various IT tools is a must
• Prior experience in healthcare or public service sector is essential
• Resourceful and a generalist
• Experience in any one of the followings would be an advantage:

RESPONSIBILITIES

Responsible for trade/B2B marketing activities of Content Distribution department including trade events, marketing collaterals and digital marketing.

Events Management:

• Identify and plan key local / overseas content markets for branded booths to promote latest programme offerings, as well as identifying relevant programmes to promote in each market.
• To manage/produce marketing collaterals required for branded booth according to trade market requirements.
• Manage the procurement process of for events set up and coordinate with awarded vendor for set up to ensure smooth delivery of booth at each content market.

Marketing Collaterals:

• Collate marketing information for programmes by working with the relevant production teams and external stakeholders for material required for programme sales (may be required to do translation work, ability to translate from Chinese to English and vice versa will be an added advantage).
• To plan and manage marketing collateral production such as programme posters (for use across all marketing platforms such as events, website and brochures) and brochures (both hard and digital copies).

Digital Marketing Content website / EDMs:

• Responsible for managing and updating the department's content website, including updating of programme info and video files.
• Required to work closely with the digital team to improve/refresh on aesthetics of website and problem-solve when issues occur.
• Plan EDMs and other digital communication tools to promote Mediacorp content in region-specific campaigns.

• A degree in Marketing, Business or a relevant discipline.
• 4 - 6 years of related experience in Marketing.
• Good communication and team work.
