As an Admin Assistant in Counselling and Care Centre, you will be working closely with the Senior Admin Executive with reception related duties which includes attending to phone calls, enquiries, etc.

Roles & Responsibilities:

1. Be the first responder to the centre’s call line and provide initial touch point.
2. Attend to clients when they arrive for appointments and clarifying payment status.
3. Manage change requests on appointment cancellations or re-scheduling.
4. Provide admin support to a team of therapists.
5. Reconcile daily payment collection.
6. Perform administrative duties on ad-hoc basis.

Skills Required:

1. Pleasant disposition and ability to deal with difficult clients.
2. Knowledge in Microsoft Office applications such as Excel.

Reporting to the Management Executive (ME), Career Transition and Events Branch, the Assistant Executive assist the ME in the planning and implementation of the various programmes that we manage. It will also include other adhoc events under the office.

• Ensure accuracy for number of e-learning platform signups by performing weekly verification of signup details.
• Facilitate payment to e-learning platform vendor by matching signup details to invoice details.
• Troubleshoot discrepancies, identified during bi-annual verification, of signup details by liaising with client or e-learning platform vendor.
• Tabulate signup details into a weekly report for audit compliance and record-keeping purposes.

National Education (NE) Tours

• Facilitate bookings for NE Tours and facilitate bookings by retrieving application forms and other relevant details from interested units.
• File documents into company SharePoint for audit compliance and record-keeping purposes.
• Take charge of the booking of NE Tour guides and transportation (45-seater buses) based on availability for tours.
• Make reservations with museums (National Museum of Singapore, Singapore Sustainable Gallery, etc.) for large group bookings.
• Troubleshoot problems with transportation company or unit.
• Collate Customer Satisfaction Survey (CSS) results per tour and submit to client in the form of a monthly report.
• Receive feedback from tour guides and suggest methods to implement feedback into current itineraries.

• Execute tasks on actual day of event (Attendance taking, manning concierge booth).

Requirements:

• GCE ‘A’ Level/ Diploma/ITE Certification in any discipline.
• Prior relevant experience in Event Management / Engagement is a plus. Proficiency in Microsoft Office Excel would be beneficial.
• Possess positive attitude.
• Ability to work independently and as a team member of a team in a dynamic environment and under pressure to meet deadlines

• Lead the team of helpdesk engineers and provide support.
• Responsible for software and asset management (including asset disposal, commissioning, and decommissioning)
• Resolves issues related to desktop computing, software, and hardware
• Support all end-user BAU activities such as software upgrades, installation / Uninstallation of approved software. 
• Performing break-fix issues on: Desktop/Laptop, IT Peripherals, iPhone/iPad, Windows, MAC OS, Microsoft 365, SharePoint, Mobile Device Management, VPN connectivity related issues.
• Printer support and installation, basic network connectivity troubleshooting, Zoom Telephony.
• Responsible for incident tickets and service requests are constantly acknowledged, prioritized, resolved to agreed SLA; or ensure to send to resolver groups as necessary.
• Incident management for P1 to P4 tickets.  Managing users communication and broadcast.
• Produce operational documentations and evidence for internal and external audits.
• Oversee, develop and optimize the End User Services processes and procedures to continually adapt to changing requirements of modern workspace services.
• Continually track hardware and software licensing inventory and consumption.

• Minimum 7 years’ experience in IT environment
• Excellent knowledge in ServiceNow is essential.
• Excellent knowledge in troubleshooting on Windows, Mac, operating system.
• Basic network infrastructure skills
• Ability to work proactively with direct manager, business users and stakeholders
• Ability to stay calm under pressure and very well organized in advancing tasks assigned.
• Ability to communicate and supervise 3rd party vendor effectively
• Knowledge in ServiceNow, JIRA, Confluence
• Strong skills in Microsoft Excel and Macros is recommended.

• Lead the planning and implementation of the project from working with Creative, Research, and Development on materials to use, fabrication, installation and commissioning.
• Create and execute project work plans and implement the necessary changes to meet changing needs and requirements to achieve the project objectives.
• Define critical path, anticipating potential problems and propose appropriate solutions to overcome these problems effectively and efficiently.
• Manage project budget and cost management. Great sense in pricing strategy and cost structure.
• Track project deliverables using appropriate tools such as Microsoft Project.
• Review project progress and to communicate timely to the various stakeholders.

REQUIREMENTS

• Minimum Diploma with at least 3-4 years of relevant experiences.
• Good knowledge in cost and quality control, resources planning and on-site operations.
• Strong presentation and communication skills, as you are the connection between client and team.
• Strong technical knowledge – able to read technical drawings and understand production requirements.
• Prior experience with planning and executing multi-faceted, complex integrated events (virtual, hybrid and physical) will be a bonus.
