Your role will include the following accountabilities:

• Coordinate the logistics for tools, spare parts, and workshop services according to the Maintenance Plan. Secure QHSE and compliance for the work and parts.
• Keep important stakeholder informed about the progress of the work. Actively update the Contract Manager when important issues occur.
• Direct customer contact for the logistics of tools, parts.
• Deliver parts, prepare tools shipments, and coordinate workshop components so that maintenance activities can be executed on time without any delays. Consolidate shipment and arrange inbound and outbound transportation
• Ensure that contractual requirements are adhered when ordering spare parts
• Work closely with the Field Service Coordinator before, during and after the work is executed to ensure that our contractual commitments are met.
• Timely and accurate reaction to customer requests.
• Handle or channel customer claims related to parts, and tools
• Manage proactively when changes to work plans occur in terms of job scope, timing, location, and quantity
• Get assistance from Operational Support and Technical Services when needed
• Review and approve cost and provide correct input for invoicing
• Takes proactive actions towards the Wartsila internal parts delivery organization. Be creative in getting the parts delivered on time even if unconventional means must be used.
• Be an active member of the Contract Core Team

To be successful in this role, you should:

• Diploma or Degree in Technical, Logistics or related fields
• Min. 2 years working experience in Logistics would be a plus
• Structured and well-planned way of working
• Focused and can-do attitude
• Good co-operation, teamwork, and communication skills
• Knowledge on operations and maintenance of large machinery
• Understanding of business service contracts
• Fluent in written and spoken English
• Good IT skills.
• Good practical knowledge and understanding of Marine Engines and Propulsion Systems and hands on experience in the use of SAP will be considered as a plus

Responsibilities:

Communications

• Liaise and communicate effectively with all ICS Team Members
• Bi-weekly meeting with Division Principals, Facilities Manager, and Community Engagement Officer for the purpose of forward planning
• Communicate school-wide expectations to the ICS Team Members for facilities usage, scheduling, and events
• Timely update on sports events and schedule to ICS Team Members and stakeholders (students, parents, etc.)
• Update sports results to the community weekly via principal emails, weekly announcements, and annually in the annual report
• Communicate sporting event schedules and ECA schedules on school calendars, and other school-wide communication methods
• Communicate with parents about sports events, ECA calendar, ECA bus information, sports events, and transportation in a timely manner

Sports

• Review, update and articulate the ACSIS (Athletic Conference of Singapore International Schools) and ACSC (Asia Christian Schools Conference) programs with all stakeholders
  • Provide effective guidelines for those involved in each program
• Liaise with parent organizations relative to all sports events at ICS
• Coordinate coaching positions for all team and events
• Support all coaches, officials, volunteers, and personnel in effectively meeting the goals of the ICS sports programs
  • Provide input on the growth and evaluation of all coaching staff
• Ensure that all sporting events are in line with the mission and learning goals of ICS
• Coordinate all administrative duties related to all ICS sporting events and after-school or ECA sporting activities
• Coordinate all interscholastic sports and activities for the entire school, and ensure that adequate support personnel is in place for each event
• Oversee the placing of athletic events and ECA activities on the school planning calendar.
• Oversee all aspects related to the safety of the sports programs
• Onboard all outside vendors/volunteers with training and paperwork

Extra Curricular Activities (ECAs)

• Serve as the ECA Coordinator
• Work with the administration to ensure the ECA program is aligned to the school's mission and goals
• Vetting new ECA programs as needed
• Manage the registration for all ECAs
• Organize the student/staff coaches that will participate in the ECA program
• Lead in the program development and supervision of ECA leaders
• Oversee all aspects related to the safety of the ECA programs, especially the sports offerings
• Oversee the scheduling of all facilities involving ECA activities
• Oversee the placing of athletic events and ECA activities on the school planning calendar
• Maintaining and managing all equipment and supplies for ECA activities

Resource Management / Finances

• Propose, develop and monitor operational budgets for all sporting events, travel, and ECAs
• Manage stipend payments and other operational expense payments to vendors etc.
• Organized and manage bus schedules and payments

Qualifications:

• Bachelor’s Degree (exceptions to be approved by the Academic Review Board)
• Teaching credential from a state or from ACSI (exceptions will be approved by the Academic Board)
• 3 years experience as Athletic and Activities Coordinator
• Experience working with students in an athletic, sports, and extracurricular setting
