Operations Liaison

• Coordinate with the Operations team to meet customer needs and ensure requirements are fulfilled.
• Provide customers with accurate and timely updates on inventory and operational status.
• Ensure all necessary documentation, including port passes, Portnet/JP online customs permits, and CIPL, is available for inbound and outbound operations.
• Notify customers of any delays, damages, or shortages in a timely manner.
• Follow up on damage or delay reports and ensure proper documentation.
• Resolve operational issues, handle customer complaints, and provide effective solutions to ensure customer satisfaction.

Support and Resolve Operational Issues

• Update stowage plans for warehouses and assist with quarterly and monthly audits.
• Maintain and update inventory records in both the system and for customers.
• Ensure timely updates to weight lists, tally sheets, inventory records, and other required reports.
• Coordinate with Operations on daily movements to ensure smooth workflow.
• Liaise with customers to identify operational issues and recommend appropriate solutions.
• Assist in tracking operational activities and customer-requested tasks to support month-end invoicing.

Requirements

• Minimum 3–5 years of experience in cost analysis, budgeting, or financial management.
• Ability to manage multiple priorities and meet deadlines.

Job Descriptions:

• Assists Project Manager in the co-ordination of project management activities to ensure that projects are executed in a smooth and effective manner;
• Attends external project meetings, meetings with consultants as well as technical and co-ordination meetings, daily project meetings and internal project closure meeting;
• Assists Project Manager in carrying out all shop drawings and submission with Drafting Department;
• Assists Project Manager in carrying out risk assessment and other risk management activities;
• Ensures all contractors are safety inducted and issued with Permit before work commencement;
• Ensures the adherence to the safe work procedure (SWP) established;
• Resolves site problems proactively in a timely manner and seeks advice from Project Manager as appropriate;
• Ensures the timely preparation of project progress and other reports;
• Follows up on all aspects of QA/QC matters;
• Co-ordinates daily activities of workers’ duties and to ensure that they are performed in a proper manner;
• Makes daily checks on work progress, housekeeping and safety implementation on site with safety personnel;
• Order materials required for projects;
• Ensures proper project documentation including email communication;
• Any other duties as assigned.

Job Requirements:

• Minimum 2 years of relevant work experience in building construction
• Possess the relevant safety certifications like SCWSH / BCSS
• Candidate must possess at least Diploma or Degree in Architecture / Civil Engineering / Construction or related courses

· Supervises and guide the cleaners assigned to an area.

· Follows-up with work instructions given by the Executive related to the cleanliness of an area.

· Ensures all cleaning are safely, properly and systematically carried out meeting the cleaning requirements.

· Supervises daily and monthly planned periodic works allocated to an area.

· Reports in a timely manner all defects, cleaners’ attendance and completion of all duties assigned.

· To troubleshoot maintenance services failures; handling repair and maintenance work, e.g. air-conditioning, lighting, electrical and plumping services

· Carry out regular inspections to the building and its facilities to maintain a high service delivery level

· Planning of work schedules and deployment of manpower

· To supervise, coordinate and manage work activities of cleaning staff in commercial and industrial establishments

· To assign duties, inspect work performed in accordance with the "Daily Inspection Checklist" to ensure conformance to specifications and established standards

· To train new/existing employees and recommend disciplinary actions where applicable.

· To handle all customers’ feedback

· To ensure good safety practices in the course of work.

· Provide a high standard of hygiene and cleanliness within the assigned area

· Manage work execution and performance of junior staff.

· Provide adequate training and coach staff to meet the required contractual standards.

· Conduct daily inspections to monitor and evaluate the work undertaken by staff and take immediate corrective measures to improve below standard performance.

· Implement and recommend operation plans to improve work processes and service quality

· Must need to work on Weekends and public holidays
