The Senior Accounts Executive is responsible managing our account portfolio and supervise our executives’ team. Ultimately, you will achieve sales and profitability objectives by effectively managing new and existing accounts.

Job Scope

• Full spectrum of accounts & management reporting
• Prepare closing of monthly and annual financial statements
• Coordinate and liaise with internal & external parties to support all finance related activities
• Ensure timely and accurate preparation of monthly management reporting within the stipulated deadlines
• Manage accounts payable and accounts receivable
• Support and ensure compliance with all legislative requirement and standards
• Prepare / Review month end balance sheet reconciliation, bank reconciliation, accounts supporting schedules and internal control reports
• Prepare quarterly GST submission and income tax schedule
• Attend to internal and external queries and requests (e.g. tax, internal audit, external audit, etc)
• Other ad-hoc duties by Financial Controller

Job requirement

• Minimum Diploma in Accountancy or its equivalent
• Minimum 3 years of accounting experience in handling full set of accounts independently
• Audit experience in an added advantage
• Excellent knowledge in Excel
• Organized, meticulous, patient and proactive
• Able to communicate effectively in English & Mandarin to liaise with Chinese speaking

The Accounts Executive reports to the Finance Manager to support the finance department in carrying out the responsibilities of the accounting department. He/She covers duties such as work that is specific to accounts receivable, accounts payable, tax filing, data compilation, billing, payroll or other accounting tasks. He/She works specifically with accruals, fixed assets accounting or the monthly and yearly finalisation of accounts for audit purposes. He/She assists with the preparation of trial balance, basic financial statements and simple consolidated financial statements. He/She may be called on to participate in ad-hoc finance-related projects and systems testing when necessary.

Key Responsibilities:

Accounts Payable (60%)

• Processing of all supplier invoices compliance with goods/service received in the Finance System.
• Ensuring all invoices have a copy of the acknowledge signed delivery order.
• Preparing cheque payment with approved invoice and monitor cheque clearance
• Performing day to day financial transaction, including verifying, classifying, computing, posting and recording accounts receivable.
• Reconcile the accounts receivables ledger to ensure that all payments are accounted for and properly posted.
• Generate financial statements and reports detailing accounts receivable status including updating vendor credit application.
• Assist in preparing petty cash pay-out to staff.

Accounts Receivable (10%)

• Processing accounting receivables and income payments in compliance with financial policies and procedures.
• Preparing bills receivables, invoices and bank deposits. Ensure all cheques are banked in promptly.
• Preparing debits and credit notes for any approved short payment/over payment for internal adjustment.

General Ledger (30%)

• Month-end Closing:- Ensure all financial related entries are promptly posted to the correct period
• Audit Schedules reconciliation for all balance sheet items and selected profit and loss items
• Bank account reconciliation to bank statement with general ledger
• Quarterly GST declaration to IRAs

Other duties

• Update supervisor on due insurance to be renewed and track all machineries and vehicle insurance coverage.
• Any other adhoc duties as and when assigned

Responsibilities

The Executive is a key role within our organization's research department, responsible for supporting and managing various administrative aspects of research projects. This position requires a good understanding of research processes, grant management and compliance regulations. The Executive is expected to take initiative in improving and ensuring smooth, efficient operation of research activities.

Key Responsibilities:

Budget and Financial Management: Work closely with research team to manage research project budgets, including tracking expenses, monitoring spending, providing financial reports and preparation of purchase requisitions. Coordinate with finance, procurement and others departments to ensure accurate financial management of research projects.

Research Support: Assist department with administrative tasks, such organizing meetings / events, collation of data, preparation of forms, managing assets and databases. Provide guidance on research best practices, funding opportunities and resources available to researchers.

Grant Management: Assist in managing the entire lifecycle of research grants, including proposal development, budgeting, submission, and post-award administration. Collaborate with researchers and funding agencies to ensure compliance with grant requirements and reporting guidelines.

Research Compliance: Stay up to date with relevant research regulations and policies to ensure adherence to ethical standards, data protection laws, and institutional guidelines. Provide guidance and support to researchers regarding compliance issues and assist in obtaining necessary approvals.

Collaboration and Communication: Foster effective collaboration between researchers, faculty members, funding agencies, and other stakeholders. Serve as a liaison between the research department and internal departments, ensuring clear communication channels and efficient information flow.

Research Reporting and Documentation: Collect, analyze, and synthesize data related to research projects, prepare progress reports, and assist with the preparation of research publications, presentations, and documentation for regulatory submissions.

Requirements

· Bachelor's degree in a relevant field (such as business administration, accounting, finance or a related discipline).

· 1 – 2 years of work experience/ proven experience in research administration or project management within a research environment is desirable.

· Good knowledge of research funding processes, grant management, and compliance regulations.

· Excellent organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.

· Exceptional attention to details.

· Proficient in using research administration systems, as well as Microsoft Office Suite.

· Excellent interpersonal and communication skills to work effectively with researchers, administrators, and stakeholders.

· Knowledge of research ethics, data protection, and intellectual property rights is advantageous.
