2. Client Communication: Serve as a primary point of contact for clients, addressing inquiries, providing event information, and maintaining a positive client experience throughout the sales process. Respond to emails, phone calls, and other communication promptly and professionally.
3. Event Coordination: Collaborate with clients to understand their event requirements, preferences, and budget constraints. Assist in creating customized event proposals, menus, and contracts. Coordinate event details with internal departments, such as culinary, operations, and logistics, to ensure successful event execution.
4. Order Processing and Documentation: Prepare and process catering orders, ensuring accuracy and timely delivery. Maintain proper documentation, including contracts, invoices, and event details. Coordinate with the finance department for billing and payment processing.
5. Menu Planning and Customization: Work closely with clients to understand their menu preferences and dietary restrictions. Coordinate with the culinary team to customize menus and ensure the availability of ingredients. Communicate special requests or menu changes to the appropriate departments.
6. Event Logistics: Assist in arranging logistics for events, such as venue setup, equipment rental, and transportation. Coordinate with vendors and suppliers to ensure timely delivery and setup of catering services. Address any event-related issues or last-minute changes that may arise.
7. Sales Reporting and Administration: Maintain accurate and up-to-date sales records, including leads, prospects, and client information, using CRM software or other tools. Prepare regular sales reports, including activity tracking, conversion rates, and revenue analysis. Assist in monitoring and managing sales pipelines.
8. Client Relationship Management: Build and maintain strong relationships with clients by providing exceptional customer service. Follow up with clients post-event to gather feedback and address any concerns or issues. Identify opportunities for repeat business or referrals.
