KEY RESPONSIBILITIES:
ยท Support the event sales team
ยท Prepare proposals, contract, and event orders under the guidance of the sales team
ยท Help manage client communication including answering inquiries and following up on leads
ยท Coordinate with the marketing, operations, finance team regarding sales initiatives, exhibitor fulfillment and payment
ยท Assist in maintaining accurate records of sales activities and client interactions in CRM system and other event platforms
ยท Provide administrative support, such as data entry, report generation, documentation and file organization
ยท Participate in post-event evaluations and gather client feedback
JOB DETAILS:
Sales Support:
- Extract and distribute sales enquiries from HubSpot to all sales staffs consistently and on time
- Build up the Sales Pipeline on Salesforce based on the data collected from HubSpot
- Tracked sales leads and ensure Sales Team to update the weightage percentage promptly
- Processed sales order, including preparing and sending the contracts to Exhibitors
- Manage, track and update the โliveโ floor plan, marking booths as on hold or reserved, adding, merging,
movingโฆ booths/spaces
- Monitored the contracts status and keep Exhibitors and the sales team informed of any delays or issues.
- Coordinate with Finance team to ensure timely billing
- Collect and upload Exhibitor information (displayed name, logo, company description, exhibitor profile) on Online Exhibitor Manual
Coordinating:
- Serve as the primary point of contact between the sales team and other departments (eg: marketing, finance, sales team)
- Help organize and coordinate during the event
Customer Service:
- Maintain and update MYS & Salesforce system with customer information, contract status and pipeline data
- Address customer inquiries, provide the event information, and resolve issues as needed
- Follow up with customer on pending payments and pending returned contracts
Report:
- Provide weekly updated Sales Report to Management
- Maintain and monitor the sales revenues report
Keep track of Exhibitorsโ sponsorship tier level, number of badges and tickets
QUALIFICATIONS
ยท Strong interest in event sales, or event management
ยท Enthusiastic and willing to learn
ยท Excellent communication and interpersonal skills
ยท Detail-oriented and able to handle multiple tasks in a fast-paced environment
ยท Proficiency in Microsoft Office (Word, Excel, Powerpoint)
ยท Ability to work independently and as part of a team
