Role Purpose
The Executive Planning Specialist supports the CEO and the Strategy & Planning Manager to maintain a high-level of corporate governance and strategic alignment for the company. The role is also required to work closely with, and support, the Executive Leadership Team (ELT) to achieve day-to-day business excellence.
Role Accountabilities
• Work with ELT to establish clear charters and delegated authority levels for a number of Swire Shipping’s revamped steering committees (as directed by the Strategy & Planning Manager).
• Facilitate each of the steering committee meeting (Executive Committee and sub-committees) in a consistent manner. Oversee the successful escalation of decisions to the Executive Committee, and conversely the cascading of key messages from the Executive Committee.
• Assist the Strategy & Planning Manager on strategic planning, balanced scorecard maintenance, and stakeholder management for projects related to geopolitics and government relations.
• Establish and actively maintain a rolling annual calendar of key business events to minimise clashes and ensure a focus on strategic priorities.
• Own the planning and facilitation of leadership events (1-2 in-person ELT offsite, 2 in-person leadership conferences, 1 virtual leadership conference).
Safety
• Assist GM, Safety Governance & Performance to achieve a consistent group-wide approach to safety.
• Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety I’s & Accountability ladder).
• Challenging and stopping unsafe acts and behaviours or unsafe conditions.
• Comply with the Global Safety Standards, Policies and Operating Procedures.
Key Qualifications & Skills
• Degree/Diploma in Business Administration or related discipline
• Minimum 3 years relevant experience
• Strong organisation and planning skills and attention to detail
• Strong communication (verbal and written) and interpersonal skills
• Good visual presentation skills
