Position Overview

We are looking for a Sales Support Administrator to provide comprehensive support in proposal writing, sales support & operations, and administrative tasks. The ideal candidate should have strong soft skills, excellent organizational abilities, and the capability to support business functions efficiently. This role requires a proactive individual who can handle multiple responsibilities, work independently, and collaborate with various teams to ensure smooth business operations. The Sales Support Administrator will report to their line manager and collaborate with cross-functional teams to ensure the achievement of business goals.

Key Responsibilities

Sales Support

• Draft, review, and edit business proposals, tenders, and client presentations.
• Work closely with our Business Managers and Technical Teams to develop compelling proposals.
• Maintain and update document templates to ensure consistency and professionalism.
• Generate detailed reports on key business metrics and sales opportunities.
• Provide exceptional customer service, responding to inquiries with professionalism and promptness.

Administrative Support

• Handle office administration tasks, including document management and correspondence.
• Maintain accurate records of contracts, project documentation, and compliance requirements.
• Assisting in recruitment efforts by managing job postings and tracking candidates.
• Supporting HR with onboarding and policy updates.
• Track employees leave and timesheet submissions to ensure smooth operations.

Operational Support

• Streamline workflows by automating processes to boost operational efficiency.
• Foster strong relationships with internal teams and external partners.
• Support the coordination of company events and team-building activities.
• Contribute to the continuous improvement of operational processes.

Required Qualifications

• Diploma/Degree in Business Administration, Management, or a related field.
• 2 years’ experience in a business administration or support role.
• Excellent communication, interpersonal and problem-solving skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint). Experience with tools like Monday.com or CRM platforms is a bonus.
• Ability to manage multiple tasks and ensure high-quality deliverables.
• Able to work with minimal supervision and support business initiatives.

Job Scope:

• Provide customer service and admin operational support
• Serve as the main point of contact for external corporate customers and internal stakeholders
• Provide support on daily operations including registration / de-registration of corporate vehicles, follow up on renewal cases and credit card expiry date, blacklisting requests, tracking of refunds, etc
• Manage incoming phone calls and identify customers' needs to achieve satisfaction
• Build sustainable relationships and trust with corporate customer accounts
• Manage and address any corporate customer complaints or issue with product / service

Job Responsibilities:

1. Receive and process sales orders accurately and efficiently, ensuring all required information is complete. Coordinate with various departments, such as overseas productions and logistics, to ensure timely order fulfilment.

2. Update and maintain the sales database by entering new customer information, updating contact details, and recording interactions and sales activities. Ensure data integrity and accuracy.

3. Support filling sales related reports & date base and customer analytics.

4. Respond to customer inquiries promptly and professionally via email, phone, or in-person. Provide basic information about products, availability, and delivery schedules. Assist in resolving customer complaints or issues by coordinating with relevant sales staff and departments.

5. Occasionally join sales staff for meeting with prospective customers.

6. Provide administrative support to the sales team, including scheduling meetings, customizing sales presentations and proposals, and maintaining sales collateral. Assist with sales forecasting and budgeting.

7. Organize timely follow up with customers on previously quoted projects and their status and report back to sales staff and/ or management.

8. Assist in organizing sales events, trade shows, and conferences. Coordinate logistics, manage registrations, and provide on-site support when necessary.

9. Build and maintain strong relationships with customers by providing exceptional customer service. Follow up with customers to ensure satisfaction and identify opportunities for upselling or cross-selling.
