This internship duration is for 5 to 6 months and we're looking to have someone join the team as early as 3 February.

For this internship, there'll also be one kick-off and one closing session to help you formulate points for your resume.

1. About you

We are looking for a multi-skilled person who fulfils the description below:

- Mandarin and English-speaking: We welcome all ethnicities who can speak both Mandarin and English as these two languages are necessary to communicate with our suppliers, partners and customers

- Professional problem solver: As a sales and operations intern, the team relies on you to serve our customers, and to ensure that customers get the product they ordered. Problems may arise anywhere from ordering the wrong fabrics to delayed shipments. While we may have developed standard procedures for some scenarios, you must also be interested to think of ideas to solve new problems that come up

- Accountable: There are many operational issues that can come up and mistakes that could happen, and we don’t have a culture of blaming each other. When such issues occur, you will not shy away from admitting your mistake, and you will fix the problem immediately without any reminders

- Detail-oriented: Each order requires a 10-step fulfilment process. In the process, you will work with various partners. As a Sales and Operations Intern, you’ll ensure that every step is executed correctly and hold our partners accountable to produce and deliver the orders timely

- Team-oriented: You will work with the sales and operations specialist closely, and we are looking for team players who look after one another

2. Requirements

- This role is open to Singaporean/PR
- Paper qualifications aren’t important, so it doesn’t matter if you have a NITEC, Diploma or Degree
- Enjoys engaging customers in fluent English (written and conversational)
- Passion in fashion and menswear is a bonus
- Working hours are Monday to Friday from 930am to 630pm on 2 weekdays, and 10am to 7pm on 3 weekdays

3. Roles & Responsibilities

- Assisting in managing customer orders from end to end, and this includes recommending them suitable fabric and designs, taking accurate measurements and recording them on our system, prepare an invoice for them, ironing their clothes if need be, and liaising with them about their order
- Assist in managing production, partners, and implementing quality control
- Manage fabrics (includes cutting fabric)

For you to be able to manage these responsibilities well, we have a developed a 2-month training programme for you. This is an outline of what you can expect:

Weeks 1-2:
- Be put through the customer journey
- Introduction to the different product lines and designs we offer
- Learn about the different types of fabrics, and the various fabric suppliers that we work with
- Learn about the nuances of fabric buying and our inventory tracking process
- Learn about various considerations in the order form preparation
- Review common mistakes that could be made during order form preparation

Weeks 3-4:
- Be introduced to our production partners, and learn their unique work flows
- Deep dive into the existing processes that we use to ensure timely and accurate order fulfilment
- Learn about our quality control framework so that you can conduct styles and measurements checks of all clothes, to ensure our standards are upheld

Weeks 5-6:
- Learning how to use the software to arrange international delivery
- Learning our basic customer success framework which will help prepare you to respond to customers’ order-related enquiries

Weeks 7-8:
- A review of what was taught to you from week 1 to 6 will be done, to see what areas you’d need more guidance with
- You will make a list of processes that require improvement, after which we will discuss and work on the more important processes

4. Roadmap
If you can do exceptionally well for this internship, there is a possibility of converting your internship to a full-time role. This conversation will be held at the forth month mark.

Job Scope

• Support in developing and executing strategies to drive business in new markets.

• Building and managing a sales network.

• Handle day to day operations for purchasing, new product sourcing and/or supplier quality management.

• Invite quotations, evaluate suppliers based on price, quality, selection, service/support, availability, eligibility, production capabilities, supplier's reputation/history and complete purchase requisitions for approval.

• Maintain and review from time to time an efficient and effective supplier base that best supports the business and operational requirements.

• Ensure cost-effective products and services are provided to the business with consistent quality.

• Ensure discrepancies in purchases, purchase orders and invoices are reconciled at end month to process payment to suppliers.

• Prepare and follow up purchase orders and expedite delivery.

• Review monthly orders .

• Confer with staff, users, and vendors to discuss defective goods or services and determine corrective action.

• Strong English and Chinese reading and writing ability to better serve buyers from different countries especially Chinese buyers.

• Demonstrated experience in sourcing techniques to provide cost savings while maintaining quality.

WHAT YOU'LL DO

Develop large Private Client base by nurture existing clients, reactivate lapsed clients, and develop personal relationships with new, high-value prospects, to introduce them the exclusive Private Client service

Maintain client relationships to the standard required to achieve personal sales targets and related KPI’s

Create and send personalized communications to your clients, to inform them of new products, designers and other company’s news that is relevant to their interest

WHO YOU ARE

Proven experience in fashion sales (ideally luxury), with a proven track record of exceeding sales targets, with the drive and motivation

Deep knowledge of current, international fashion trends, designers and products, and a passion for styling

Able to understand and interpret analytics into recommendations

Resilient, with a problem solving and solutions focused attitude, with a logical approach to situations

Proven ability to engage and build customer relations (clienteling)

Excellent written and verbal communication etiquette

An excellent team player but also able to work on own initiative

Comfortable with ambiguity, adopting a flexible approach

Strong computer literacy and an understanding of the digital world

Responsibilities:

• Provide sales administrative support to the Sales Team
• Assist in the preparation of delivery order, purchasing order and invoicing
• Handle phone and email enquiries, ensuring timely responses
• Maintain good filing, photocopying, scanning documents & proper records of documents and correspondences
• Prepare schedule plan and arrange delivery
• Provide administrative support and undertake additional tasks as needed

• Responsible to serve, grow and retrieve existing Leong Guan customers
• Developing new accounts and identify business opportunities
• Actively pursue and develop good customer relationship with regular field visits
• Process quotations, sales orders and schedule goods deliveries to customers
