Job Responsibilities:

1. Receive and process sales orders accurately and efficiently, ensuring all required information is complete. Coordinate with various departments, such as overseas productions and logistics, to ensure timely order fulfilment.

2. Update and maintain the sales database by entering new customer information, updating contact details, and recording interactions and sales activities. Ensure data integrity and accuracy.

3. Support filling sales related reports & date base and customer analytics.

4. Respond to customer inquiries promptly and professionally via email, phone, or in-person. Provide basic information about products, availability, and delivery schedules. Assist in resolving customer complaints or issues by coordinating with relevant sales staff and departments.

5. Occasionally join sales staff for meeting with prospective customers.

6. Provide administrative support to the sales team, including scheduling meetings, customizing sales presentations and proposals, and maintaining sales collateral. Assist with sales forecasting and budgeting.

7. Organize timely follow up with customers on previously quoted projects and their status and report back to sales staff and/ or management.

8. Assist in organizing sales events, trade shows, and conferences. Coordinate logistics, manage registrations, and provide on-site support when necessary.

9. Build and maintain strong relationships with customers by providing exceptional customer service. Follow up with customers to ensure satisfaction and identify opportunities for upselling or cross-selling.

2. Network and Connectivity Support:

• Ensure stable network connectivity (Wi-Fi, LAN, VPN) for all office users.
• Diagnose and resolve network-related issues, such as slow internet speeds, wireless connectivity problems, etc.
• Assist with setting up and configuring network printers, scanners, and other shared devices.

3. User Support and Troubleshooting:

• Act as the first point of contact for all IT-related issues from office staff (email, phone, ticketing system).
• Troubleshoot and resolve basic technical issues related to operating systems, office applications, and network connectivity.
• Provide remote support for employees working offsite (home offices, remote locations) using tools like remote desktop support.
• Assist with onboarding new employees by setting up user accounts, email, and necessary hardware/software.

4. Security and Backup Management:

• Assist with IT security initiatives, including the setup of antivirus software, and data encryption.
• Assist in data recovery processes in case of system failures.
• Monitor and enforce IT policies regarding password management, data security, and access control.

5. System Maintenance:

• Ensure that all office systems (servers, workstations, etc.) are regularly maintained and updated with the latest security patches and updates.
• Perform routine hardware checks to prevent issues and minimize downtime.

6. IT Documentation:

• Maintain a knowledge base of common IT issues and resolutions for quick reference.
• Keep detailed records of all IT incidents, troubleshooting steps, and resolutions for future reference.
• Document IT configurations, processes, and procedures to ensure consistency and scalability.

7. IT Project Assistance:

• Assist with IT-related projects such as office relocations, upgrades to office technology, or system migrations.
• Provide technical support during the implementation of new IT systems or software.

8. Training and Guidance:

10. General Administrative Support:

Requirements:

1. Technical Skills:

Quotations & Contract Management

• Prepare and send quotations to customers.

• Manage spare parts inventory and ensure proper tracking and labelling of spare parts packages.
• Source local suppliers for non-Technogym parts, including upholstery shops, cable fabrications, and other specialized needs.

General Support

• Perform other ad-hoc duties and provide office support as required by the company.
