The Ocular Epidemiological Research Group at SERI conducts ophthalmic epidemiologic research in Singapore and Asia under the Singapore Epidemiology of Eye Diseases (SEED) programme collectively involving over 10,000 study subjects, with comprehensive clinical, image and genetic data. One of the projects including SEED data is ‘Diabetes studY in Nephropathy And other Microvascular cOmplications (DYNAMO-II)’. DYNAMO-II aims to determine the longitudinal relationship between retinal imaging parameters and long-term risk and progression of chronic kidney disease (CKD) and determine the predictive value of retinal vascular imaging measures in identifying patients at risk of CKD, and other adverse outcomes including renal failure, cardiovascular disease and deaths using both data-derived machine learning and retinal image-based “deep learning” algorithms with validation in different local and international cohorts. DYNAMO also includes a clinical cohort that recruits diabetic patients from clinics to predict the progression of CKD.

Roles and Responsibilities:

Reporting to the SRTT Director Corporate Services (DCS) to support the RO and SRTTs administrative activities, the role includes but not limited to:

1. General Administrative Support:

• Provide day-to-day administrative support.
• Handle correspondence, prepare documents, and manage office communications.
• Handle Procurement / Finance related matters, e.g., Raise budget memo for approval, raise purchase requests, goods receiving etc.
• Perform filing, data entry, and maintenance of office records.
• Any other administrative duties assigned.

2. Calendar Scheduling:

• Manage and coordinate calendars for RO, SRTT CIA and SRTT Central Initiative Directorates (CID) based on event requirements.
• Schedule meetings, appointments, and conference calls.
• Resolve scheduling conflicts and ensure timely reminders.

3. Travel Arrangements and Booking:

• Book flights, accommodations, transportation, and other travel-related services for work trips for visiting scientists, Advisory board members, senior management and staff.

4. Event Organization and Logistic Support:

• Support in the planning and organization of events, meetings, and conferences for all RO and SRTT activities.
• Provide logistic support for events, including registration and ushering.
• Coordinate the setup of event venues, manage attendee lists, and any other required tasks to ensure a smooth flow of activities.

Job Requirements:

• Degree, any discipline with at least 5 years of professional experience in an administrative or office management role.
• Able to leverage on digital dashboards for monitoring and tracking (Power BI, tableau etc.) will be a plus.
• Good communication (written and verbal) and interpersonal skills for good relationship management.
• Good analytical and problem-solving skills, resourcefulness, attention to detail, and good team player.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and able to present information in a logical manner.

Job Description

• Assist teachers in the preparation of teaching materials, laboratory resources, conduct of practical sessions and preparation of worksheets
• Provide support for programmes run by the department which may include shifting of bulky laboratory items
• Accompany students on learning journeys
• Manage inventory of school’s laboratory and science equipment and materials
• Maintain cleanliness and neatness in the Science Laboratory·
• Assist in any other duties assigned by the school.

Requirements

• Possess at least 1 year of working experience
• A pass in English Language in GCE “N” or “O” level subject or its equivalent
• A pass in Science at GCE “N” or “O” level subject or its equivalent
• Excellent team-player who is organized, meticulous and with the ability to multi-task
• Strong communication and interpersonal skills
• Proficient in Microsoft Office (e.g. Microsoft Word, Microsoft Excel)

Working hours

• Mondays to Friday: 8:00am to 4:00pm, inclusive of 1hr lunch break
• Working hours may be adjusted occasionally, within the 42- hour per week limit, to meet school’s needs
• Service not required on Saturdays, Sundays, Semester 1 and 2 breaks (June and November/December school holidays) and gazetted public holidays.

Research Grant Administration

· Provides effective administration of research grant call applications and management of awarded grants

· Assumes the role as SAP Concur reviewer and first-level approver and work with the Finance department to provide the fastest and smoothest approver flow.

Communication of Research Information

· Creates weekly research e-newsletter to communicate information on internal and external grant calls to faculty and research staff members.

· Develops content for the school’s website for research grants, projects and achievements.

· Develops Research-related publications (Research Brochures /Pamphlets)

· Assists with the organisation of the monthly WKWSCI Speaker Series (Research Talks).

Monitoring Research Budgets and Assets

· Monitor budgets and expenditures relating to research grants

· Monitor deadlines for the submission of expenditure reports as well as progress and final report

Requirements

· Bachelor's degree from a recognised university

· Proven administrative skills including the ability to handle data with accuracy.

· Excellent reporting with some finance working knowledge would be essential.

· Preferably 2 to 3 years of relevant work experience. Prior working experience in an academic institution will be an advantage.

· Competency in Microsoft Office applications (Excel, PowerPoint, word).

· Ability to do content management and creation of information on research (Website, social media and newsletters)
