Assistant Event Manager

Singapore

The Assistant Event Manager is responsible for the development, planning and overall operational and execution of meetings, conferences, incentive travel programs and/or special events. The Assistant Event Manager works on a variety of projects simultaneously and serves as the day-to-day planning contact for each respective department. The Assistant Event Manager is responsible for the day-to-day internal contact and project planning functions and overseeing such elements as website development, attendee management, budget management, and final program billing.

Your Responsibilities

• Conduct site inspections, follow up with site inspection notes, revised estimated budget, program itinerary and program timeline
• Utilize, recommend and leverage BCD Meetings & Events preferred hotel agreements and approved Destination Management Companies (DMC).
• Negotiate and purchase ground transportation, entertainment and décor elements via preferred DMCs and/or direct vendors.
• Ensure timely payment of all supplier/vendor bills and oversee invoice payment of deposits are received on time
• Work with various departments to develop, coordinate and implement program agendas and itineraries
• Work with business leadership to create, develop, price and facilitate new and repeat business proposals, including, but not limited to destination, air, hotel, activity and event overviews
• Conduct internal pre-program briefings and post-program debriefings, including briefing and debriefings.
• Manage day-to-day internal program budgets, present to Manager and Event owner for review and approval prior to sending to the client.
• Source destination, air, hotel and venue options that meet the goals and objectives of the departments.
• Track and manage air, hotel and vendor attrition, cancellation and deposit schedules.
• Facilitate the creative direction and fulfillment of program-related participant and host communications materials, including but not limited to save the dates, registration announcements, room gifts, pre-trip and on-site materials, including program signage and participant name badges.
• Reconcile all final billing on-site prior to final billing being sent to Finance and ensure final billing timeline is met.

Purpose of Role

Job Responsibilities:

• Assist Lead Consultant who is designated as SO Rep to manage the day to day operations of the Building Contract. Job Responsibilities

· Inform Design Team, Cost / Commercial team of all client-led change proposals and instructions.

· To manage local consultants in the execution of design development.

· To assist in coordination between Design Team, Consultants, Operator stakeholders.

· Assist site team in resolution of site clashes.

· Participate in workshops and lead, manage the consultants as required in review and comment of shop drawings in terms of constructability, sequencing and ensure quality of he design aesthetic is maintained throughout.

· Follow through on design development of Concept, Schematic, Development and Construction Documentation for all projects where applicable.

· To attend and review Mock Ups.

· Conduct site and factory visits to ensure implementation and compliance with approved design intent and direction.

· Interfacing with internal and external Operations Management to ensure timely incorporation of operational requirements within the project design.

· Manage the design change process to ensure minimal impact to project schedule and minimize cost impacts as a result of such design change.

· To assist consultants and design team to complete and resolve any unforeseen interface problems throughout the various Design Phases.

JOB REQUIREMENTS

• Minimum 8 year’s working experience in Architecture Design Management of Hospitality would be preferred
• Candidate must possess at least a Bachelor's Degree, Post Graduate Diploma, Professional Degree, Architecture, Interior Design or equivalent.
• Possess good communications and people skills
• Good organization, coordination and leadership skills
• Required skill(s): design development, project management, construction.

1) Willing to perform night shift work and min 2 years of night entertainment working experience

6) Maintain good relationship and update ad hoc company's promotion to our existing and potential customers

Key Responsibilities:

• Manage day-to-day finance operations, accounting and banking activities
• Ensure timely and accurate month-end and year-end financial closing with preparing of analytical review
• Monitoring cash inflow and outflow to ensure liquidity and forecast future requirements
• Accurately record financial transactions, accounts payable and receivable, and reconcile bank statements
• Prepare and manage annual budgets, ensuring alignment with organizational priorities.
• Conduct periodic financial forecasts and variance analysis to track performance.
• Preparation of accurate and timely financial reports, including balance sheets, income statements, and cash flow statements.
• Ensure compliance with local regulations and reporting standards
• Adherence to financial regulations, tax laws, and internal controls.
• Identify financial risks and implement measures to mitigate them.
• Collaborate with senior management and stakeholders to provide financial insights and recommendations.
• Liaise with auditors, regulatory bodies, and financial institutions as needed.
• Evaluate and enhance financial processes, systems, and workflows for efficiency and accuracy.

Job Requirements:

• Bachelor’s degree in Finance, Accounting, or a related field
• More than 8 years of experience in relevant accounting background
• CPA, ACCA, or equivalent certification is highly advantageous.
• Strong knowledge of Singapore financial regulations and compliance standards.
• Proficiency in accounting software and advanced Excel skills.
• Excellent leadership, communication, and interpersonal skills.
• Ability to manage multiple priorities, meet deadlines, and solve complex problems effectively.
