Position Overview

We are seeking an HR, Administration & Operations Executive to take on a critical role in managing the Company’s human resources, office operations, and strategic programs. This hybrid position requires a highly organized and detail-oriented individual who can oversee HR processes, manage office operations, and lead the coordination of key strategic projects and programs. The ideal candidate will thrive in a dynamic environment, working closely with senior management to drive operational efficiency and support the Company’s most important initiatives.

Key Responsibilities

Human Resources

1. Draft, review, and manage employment contracts, offer letters, and other HR documentation.
2. Ensure employment agreement templates are updated in the common folder.
3. Oversee onboarding and offboarding processes, ensuring compliance with Company policies and a positive employee experience.
4. Maintain and update employee records, including leave management and benefits administration.
5. Address HR-related inquiries and liaise with external vendors as required.
6. Ensure compliance with local employment laws and regulations.
7. Prepare monthly payroll files for the Singapore office before the payroll cutoff date.
8. Manage the full work pass lifecycle, from job posting to renewal, where necessary.
9. Collaborate daily with the HR and Finance Teams in the China offices (Xiamen and Shanghai) to ensure smooth communication.

Office Administration & Operations:

1. Support cross-departmental projects to ensure operational alignment with business objectives.
2. Process expenses and coordinate vendor payments in the Company’s financial system in a timely manner.
3. Develop and implement process improvements to enhance operational efficiency.
4. Monitor adherence to Company policies and local regulations.
5. Ensure office supplies are adequately stocked.

Executive Support:

1. Provide high-level administrative support to senior management, including calendar management, meeting scheduling, and event coordination.
2. Document minutes for meetings upon request and track action items.
3. Serve as the primary point of contact for internal and external communications on behalf of senior leadership.
4. Lead or assist with special projects and initiatives as assigned by senior leadership.

Other Duties:

1. Act as a backup for other roles when needed to maintain operational continuity.

Qualifications and Skills

1. Education: Higher Nitec or Diploma in Business, HR, or Accounting.
2. Experience: Minimum 3 years of experience in a similar HR, administration, and operations role.
3. Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, SharePoint, OneDrive, Outlook).

• Promote IATA safety policies and strategies with ICAO, Government Authorities and Agencies, Air Navigation Service Providers (ANSP) and Airport Authorities responsible for the planning, implementation and operation of air navigation and airport facilities, to deliver safety improvements.
• Identify, develop activities, and deliver safety improvement programs aimed to rectify any safety deficiencies within the region collaborating with governments, airlines, ANSPs and airports utilizing regional aviation safety forums such as RASG and APRAST. This may include the development of country specific safety strategies.
• Engage stakeholders, and actively promote, the IATA Safety Strategy around the three strategic goals relating to Safety Leadership, Safety Risk and Safety Connect to drive the:evolution of safety culture and reporting;
  prioritization of identifying and addressing safety risks;
  evolution of IATA audit programs;
  growth of a safety community, connecting all IATA airlines, across the region.

We would love to hear from you if you have

• Extensive aviation background/experience in positions involved in safety, operations, certification and/or regulation of civil air transport operations (strong preference given to candidates with experience as a pilot).
• Qualifications in aviation management or other relevant discipline (relevant professional qualifications may be considered in lieu of a university degree).
• A high degree of analytical skill and technical knowledge in the provision of air transport services with knowledge of ICAO standards and recommended practices, industry best practices and civil aviation operational procedures.
• An understanding of air safety investigation and/or risk-based airline auditing in a multidisciplinary environment would be beneficial.
• Comprehensive understanding of safety information sharing programs and data management methodology.
• Ability to work remotely from core safety team, based in Geneva and Montreal, to independently deliver on activities agreed upon by centrally located subject matter experts.
• Comfortable to perform under pressure to deliver outcomes upon clearly defined timelines.
• Confident to report regularly to core safety team on progress made, and challenges experienced, against pre-determined metrics for agreed objectives.
• Ability to deal with member airlines at a technical, safety and operational level with a positive approach to problem solving.

An Operations Engineer with liquid processing experience in the F&B sector, who will be responsible for providing operations support to strategic co-manufacturing partners and who will collaborate closely to implement innovative and continuous improvement initiatives. This role, based out of Singapore, will entail about 50% travel, primarily within the APAC region.

ESSENTIAL FUNCTIONS

Project Management

• Lead projects involving new plant installations and continuous improvement.

Responsibilities:

Program Support Activities

• Develop and deliver training within the scope of ATM system contracts.

• Degree / Diploma in Business, Marketing, or a related discipline
• 2-3 years of business development, sales, operations experience, preferably in the education and training sector. Fresh graduates are welcome to apply.
• Proficient in Microsoft Office applications, especially Word, Excel and PowerPoint

Job Responsibilities

• Data entry, scheduling appointments and billing of services

• Staff on-boarding / off-boarding

• Receive and respond to all enquiries

• Inventory management of consumables and equipment

• Ensure data entry and billing activities are promptly and accurately captured in the respective database and/or systems within the stipulated timeline

• Ensure staff receives the appropriate access and equipment on the first day of work

• Ensure all relevant access and equipment are reclaimed / terminated on staff’s last day of work

• Ensure all enquiries are promptly and professionally handled within the stipulated timeline

• Ensure all relevant consumables and inventory are adequate to meet operational needs

• Any other duties assigned

Requirements
• Diploma in any discipline

• At least 2 years of working experience
• Self-motivated and strong team player
• Meticulous and strong organizational skills
• Proficient in Microsoft Office (PowerPoint, Word and Excel)

• Effective written and verbal communication skill
• Able to work on weekends
