Job Description

To manage the academy’s front desk daily and perform a variety of administrative and clerical tasks. Inclusive of the receptionist role, you are the academy’s first point of contact. You ensure that the front desk welcomes guests positively and executes all administrative tasks to the best quality standards.

The operations executive will also be involved in serving the VIP guests lunch/coffee time.

Job Responsibilities

• Handles administrative tasks for daily campus operations.
• Maintain accurate updates for various files, listings, and records.
• Pick up calls and effectively forwarding of inquiries and assist walk-in customers and direct them to the relevant department.
• Ensuring all Warm Welcome Signages for VIP visits are prepared prior to arrivals and weekly classroom allocations slides are updated and projected.
• Manage the set-up & clean-up of event reception/seminar, etc.
• Arrangement of Courier Services for any delivery and pick-up required.
• Opening of the daily mail, sorting out mail & Submission to Finance
• Plan and procure logistics materials under the operations department. (Stationery, laundry, cleaning materials etc.)
• Name and Foot Tags/cards requisition for event purposes.
• Coordinate Photocopier servicing and toner replenishment.
• Coordinate routine laundry servicing.
• Serving EXCO lunch and any VIP lunch.
• Manage various periodic inventory lists for all Operation dept’s logistics.
• Assist the operations manager with liaising with the supplier/contractor for facility maintenance.
• Manage all document filings for suppliers’/contractors’ matters.
• Assist the operations manager in verifying invoice details according to all outsourcing staff arrangements and repair work arrangements.
• Updating the Facilities maintenance log.
• Updating various log sheets and record sheets for campus operations.
• Assist the operations manager with proposal papers for Finance/EXCO
• Assist the operations manager with any compliance documentation.
• Assist inquiries regarding preparing lab requirements.

Deployment:

• Mondays to Fridays: 6:30am to 4:00pm, inclusive of one (1) hour lunch break
• Service not required on Saturdays, Sundays and gazetted public holidays

Scope of Works:

• To provide support in general upkeep of equipment and workplace;
• To provide logistical support for school events and functions including arranging of furniture and equipment;
• To perform gate duties and traffic control to ensure safety of students moving in and out of the school premises

Requirement:

• Completed primary school education and preferably have some experience in general upkeeping of equipment/workplace, logistic or general operations support;
• Preferably be able to converse in English or Mandarin;
• Able to provide logistical support including arranging of furniture and equipment;
• Able to take instructions and duties assign by supervisor.

Primary Objective:

Assist the Head of Internal Audit in discharging its responsibilities by performing independent review to ensure :-

•    Soundness and adequacy of governance, risk management and internal control system
•    Compliance with statutory and regulatory requirements as well as internal policies and guidelines.
•    Coordinate and supervise audit assignments to ensure timely completion and efficient execution.  
•    Provides consultative role in review of proposal papers for development of new and variation to the existing Islamic banking products & services as well as new and enhancement of framework, policies and guidelines to ensure the necessary control features are incorporated.

Key Responsibilities:

•  Coordinate annual risk assessment exercise of all the operating units under the purview of this section for establishment of annual audit plan.
•  Plan and supervise the execution of risk-based audits as per annual audit plan established.
• Review audit scopes and audit programs for execution by audit team to ensure audit objectives are met with adequate coverage.
• Review draft audit findings and works performed by audit team to ensure issues raised are appropriate and valid for audit discussion.
• Attend audit exit discussion with the respective Head of BG/FG & BA/FA to discuss audit issues as well as recommendations to improve system of internal control
• Review and finalize audit reports for sign off by Head of Internal Audit and Functional Group Head, RHB Bank Singapore
• To provides value-added service through recommending the key controls required in review of proposals for new and variation to existing Islamic products and services, new and enhancement to existing policies and guidelines.
•  Train, coach, motivate and provide guidance to the staff in the section.
• Assist Head of Internal Audit in supervising and ensuring smooth operations of IAD

Responsibilities include:

Retail:

• Executing and overseeing day to day operations i.e., Opening/Closing, inventory management, replenishments, customer service, cashiering, sales reporting, visual merchandising, goods receiving or deliveries
• Assisting in setup and roll out of new stores locally and overseas
• Achieving or exceeding sales and customer growth targets
• Ensuring excellent in store customer service and experience
• Executing in store-activities, events or campaigns
• Reporting on a daily/weekly/monthly product and sales performance
• Contributing regularly at internal meetings with team members to optimise store operations, improve workflow and productivity
• Reporting to Retail & Community manager

Customer service:

• Handling daily customer queries with prompt and appropriate solutions and escalating concerns to relevant departments
• Contributing regularly to innovation and improvement of workflow between online and offline sales channels
• Inspecting returned items and processing store credit refunds
• Ensuring excellent customer experience online and offline

Skills & Requirements

• Minimum I year working experience in retail (Fashion or F&B a bonus) or a customer-facing role
• Honest, hardworking, responsible, pro-active and a strong team player
• Able to converse fluently in English
• Must be able to commit 44 hours a week, including one day each weekend (Saturday and/or Sunday)

We are seeking a highly organized and proficient Warehouse Operations Executive to oversee our ecommerce warehouse fulfilment operations. The ideal candidate will have extensive experience in warehouse management and a strong understanding of the ecommerce sector. This role is critical to ensuring efficient, accurate, and timely order fulfilment, which is essential for maintaining customer satisfaction and supporting the company’s growth objectives.

Key Responsibilities

· Order Fulfillment: Ensure all ecommerce orders are processed, packed, and dispatched accurately and on time.

· Inventory Management: Maintain optimal inventory levels, conduct regular stock audits, and manage stock replenishment to prevent shortages or overstock situations.

· Warehouse Organization: Develop and implement efficient warehouse layout plans and storage systems to optimize space and streamline operations.

· Quality Control: Implement and monitor quality control processes to ensure that all products meet the company’s standards before dispatch.

· Team Management: Supervise and train warehouse staff to ensure high performance, adherence to safety protocols, and maintenance of a productive work environment.

· Shipping and Logistics: Coordinate with shipping carriers and manage logistics to ensure timely and cost-effective delivery of orders.

· Data and Reporting: Utilize warehouse management systems to track inventory levels, order status, and other key metrics. Generate and analyze reports to identify areas for improvement.

Responsibilities:

● Daily monitoring and compilation of robot performance and issues

● Oversee project operations and liaise with subcontractors and suppliers on project/deployment matters

● Prepare documents for purchasing order

● Handle ad-hoc duties e.g., delivery and robot transportation activation

Requirements:

● Education – Preferably Diploma and above

● Language – Strong communication skills in English (both oral and written)

• Manage deliverables while ensuring adherence to company and department policies and procedures relating to Client Operations and Transfer Agency such as NAV reporting, investor registration, dealing, investor reporting and cash.
• During Japanese business hours serve as a main contact for daily client inquiries from the client servicing desk at our parent company. Manage these queries to a satisfactory closure, or appropriately handed off to the source team, in line with Japanese client service expectations.
• Handle any sensitive or escalated queries/concerns from Clients, Investors, Fund Managers or internal MUFG Departments following a high-quality standard in line with Japanese clients’ expectations.
• Support Client Operations and Investor Operations teams with their deliverables as per the need.
• Support teams and departments across locations, and direct reports with training and guidance on Japanese client servicing as per the need.
