We're looking for an Operations Manager who can turn ideas into a well-oiled machine. If you can juggle flaming torches while riding a unicycle, you're on the right track (side note, if you can actually do this – we’ll book you as the performer for our next team retreat).

Some Examples of Projects You Will Lead

• Scale Our Dream Team: Build and run a hiring machine that'll take us from a team of 5 to a team of 50 to a team of 500 (you enjoy the challenge, right?).
• Event Management: Design and execute three member retreats per year. We're talking about “I can't believe this is a business trip” level experiences in places like Bali and Tulum. You'll be in charge of finding Instagram-worthy venues, negotiating with vendors, and creating unforgettable experiences for our members.
• Project Management: Work across multiple teams to coordinate efforts. For example, if we were going to launch a training course and needed someone to be the coordinator between the content that the Coaching team produces, the management of video editors to make sure they get the edited videos on time, and the marketing team to promote the training course, you would be the point person.
• Systems Optimization: Create and optimize processes that'll make our operations run like a well-oiled machine.
• Growth Opportunities: Work with our CEO to discover partnerships and acquisition opportunities that'll take Purple Circle to the next level.

The role as for Operators Manager will have a key focus on
• Liaising with the vessels/agents/charterers/owners/Shippers/ Receiver/other external parties to ensure smooth operations.
• Daily monitoring of vessels positions/schedules
• Assistance to Chartering providing information around all running voyages
• Time charter operations
• Voyage operations including stowage optimizing (TC and VC)
• Issuing invoices and hire statements, handle laytime and demurrage
• Finalisation of voyages (TC and VC) including follow up
• Managing port calls including negotiating port disbursement accounts
• Coordination of hold/hull cleaning procedure with technical departments and Master
• Checking and approval of B/L drafts, commission invoices, FDA, bunker invoices and notifications for pre-funding to the accounting
• Any other duties as per required from time to time.

- Degree in Maritime Study or Graduate of a recognized university in a Maritime related course.

- Good skills in Microsoft office, and knowledge of IMOS, CFM, SEDNA will be an advantage

1. Logistics Planning - Develop and implement logistics strategies to optimize supply chain efficiency. Coordinate and monitor supply chain operations, including transportation and warehousing. Analyze and forcast demand to ensure timely delivery cost optimization.
2. Operations Management - Oversee daily logistics operations, including inventry management and distribution. Manage fleet operations and optimize routing for cost effectiveness.
3. Vendor and Stakeholder Coordination - Build and maintain relationships with vendors, suppliers, and transport service providers. Negotiate contracts to ensure cost-effective solutions.
4. Compliance and Reporting - Ensure adherence to local regulations for transportation. Prepare and present logistics performance reports to stakeholders. Maintain accurate records of shipments and delivery schedule.
5. Team Leadership - Recuit, train and supervise logistics staff. Foster culture of continuous improvement and accountability. Monitor team performance and address operational challenge effectively.

Job Summary:

The Event Operations Manager/Assistant Manager will be responsible for overseeing the planning, coordination, and execution of events. The role requires excellent project management skills, attention to detail, and the ability to work under pressure while ensuring the seamless delivery of high-quality events. This position will collaborate closely with internal teams, clients, vendors, and stakeholders to ensure the success of all events.

Key Responsibilities:

1. Event Planning and Coordination:Lead and manage the planning and execution of events, including conferences, seminars, exhibitions, corporate events, and social events.
   Develop and maintain detailed event timelines, checklists, and project plans to ensure smooth operations.
   Coordinate logistics, such as venue selection, catering, audiovisual, transportation, and accommodation for attendees.
   
2. Vendor Management:Identify, negotiate, and manage relationships with event vendors, suppliers, and service providers.
   Ensure all vendors meet quality standards and timelines while staying within budget.
   
3. Team Management:Oversee and lead the event operations team, ensuring clear communication, task delegation, and team collaboration.
   Provide training and support to junior staff or temporary event workers.
   Supervise and manage on-site event staff to ensure smooth operations on the event day.
   
4. Client Relationship Management:Act as the main point of contact for clients before, during, and after events.
   Address client needs and ensure their expectations are met.
   Provide on-site support to clients, ensuring their satisfaction with event operations.
   
5. Budget Management:Develop and manage event budgets, ensuring that events are executed within allocated costs.
   Track and reconcile event expenses and provide regular updates to management.
   
6. On-site Event Management:Oversee the setup, operations, and breakdown of events.
   Ensure that all equipment, signage, and other event-related materials are prepared and delivered on time.
   Manage on-site logistics, attendee check-in, and other operational activities.
   
7. Health & Safety Compliance:Ensure that events comply with local regulations, health, and safety standards.
   Assess risks and implement contingency plans for unforeseen circumstances.
   
8. Post-Event Analysis and Reporting:Collect feedback from clients, participants, and vendors to evaluate the success of the event.
   Prepare post-event reports, highlighting successes and areas for improvement.
   Analyze event performance and suggest improvements for future events.
   

Requirements:

• Education: Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field.
• Experience: Minimum of 2 to 3 years of experience in event operations, with at least 1 years in a managerial capacity.
• Skills:Strong project management skills with the ability to multi-task and prioritize.
  Excellent communication and interpersonal skills.
  Strong problem-solving and decision-making abilities.
  Attention to detail and a commitment to delivering high-quality events.
  Proficient in event management software and Microsoft Office Suite.
  
• Knowledge:Familiarity with event production, logistics, and vendor negotiation.
  Knowledge of local regulations and industry best practices in Singapore.
  
• Language Skills: Fluent in English and Chinese (both written and spoken).
• Personal Attributes: Highly organized, proactive, flexible, and able to work under pressure. Ability to work independently and as part of a team.
