Job Description

Roles & Responsibilities:

• Assist in drafting and review of relevant oil product and/or crude contracts in a timely, accurate and efficient manner;
• Work closely with Finance department and counterparties on negotiation of LC terms prior submission of final draft for approval;
• Responsible for following through on the execution of the contract. Monitor and coordinate the entire cargo delivery by working closely with counterparties, ship owner, surveyor and shipping agents to help manage and mitigate cargo and shipping operational risks;
• Responsible for maintaining good relationships with cargo surveyors, insurance companies, shipping agents and counterparties to ensure smooth, efficient operations and add value to contract execution; Source market intelligence and share among team members and Traders for better decision making;
• Responsible for recording and maintaining relevant operational data, including but not limited to data entry and processing in the internal system (CXL), and initiating contract approvals and payment approvals in the OA system;
• Responsible for management of storage tank(s), including but not limited to the drafting and review of storage and inventory management measures, the execution of relevant contracts and agreements on storage leasing, the appointment of inspection companies to inspect the cleanliness of storage tanks, berth scheduling and planning, monitoring and management of stock quantity and quality in and out of the tanks, storage insurance, and oil blending operations if any;
• Assist in conducting due diligence checks on the company's investment opportunities in storage tanks, terminals and pipelines etc;
• Other ad-hoc tasks as assigned by the Head of Operations.

Requirements:

• Bachelor in related field or equivalent;
• Min. 3 years relevant working experience in oil related/ energy trading, preferably in commodities trading companies；
• Excellent organisational skills and networking skills, and enjoy developing and maintaining strong relationships with key stakeholders;
• Good ethics and professional conduct, and with strong sense of responsibility and teamwork spirit;
• Good organisational, time management skills and stress tolerance with proven ability to manage multiple priorities;
• Excellent command of English and Chinese languages (as the position needs to frequently communicate with English/Chinese speaking stakeholders verbally/ in writing as well as to prepare and proof-read English/Chinese official documents and presentations whenever appropriate).

The Operations Liaison Assistant will play a critical role in ensuring smooth communication and coordination between operations, sales, and customer service departments. This role involves supporting day-to-day operations, addressing customer needs, and ensuring a seamless experience for customers purchasing home and living products and consumer electronics. The ideal candidate is proactive, detail-oriented, and has a strong commitment to customer satisfaction.

Key Responsibilities:

Operational Support:

• Act as a bridge between warehouse, logistics, sales, and customer service teams to ensure operational efficiency.
• Monitor order processing, shipment schedules, and inventory levels to ensure timely delivery to customers.
• Assist in the coordination of returns, exchanges, and warranty claims for home and living products and consumer electronics.
• Identify and resolve delays or issues in product delivery by liaising with internal teams and external partners.

Customer Service:

• Serve as the first point of contact for customer inquiries related to product availability, order status, shipping, and aftersales support.
• Proactively communicate updates to customers regarding their purchases, addressing delays, and providing alternatives when necessary.
• Handle escalated customer complaints with professionalism, ensuring a positive resolution while maintaining customer satisfaction.
• Assist customers with technical inquiries related to consumer electronics, including troubleshooting minor issues and directing them to appropriate resources for support.

Administrative Coordination:

• Support the operations team by maintaining accurate records of inventory, order fulfillment, and service logs.
• Assist in tracking key performance indicators (KPIs) to identify areas for improvement in customer service and operations.
• Collaborate with the sales team to process special orders, promotional activities, and product rollouts.

Cross-Functional Collaboration:

• Work closely with the merchandising team to keep product details, pricing, and availability up to date.
• Coordinate with the technical support team to resolve customer issues related to consumer electronics.
• Assist in implementing operational improvements that enhance the customer experience and streamline workflows.

Requirements:

• Proven experience in customer service, operations, or administrative support roles, preferably in retail or e-commerce.
• Familiarity with home and living products and consumer electronics is a strong advantage.
• Strong communication and interpersonal skills to effectively collaborate with internal teams and customers.
• Ability to multitask, prioritize responsibilities, and maintain attention to detail in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with order management or CRM systems (e.g., Salesforce, SAP) is a plus.
• Problem-solving mindset with the ability to resolve customer and operational challenges promptly.

THE ROLE

Handle cargo operations including quantity & quality control, vessel operations, vessel vetting, instructions on loading/discharging/ inspections, demurrage management, cargo insurance matters, checking letter of credit and related troubleshooting
Blending operations, blending component evaluations, instructions on blending/ inspections, inventory management & projection, knowledge in cargo sampling & testing, related documentations and related troubleshooting
Record/ update the database related with the above transactions
Other ad hoc duties

REQUIREMENTS

Bachelor’s Degree from a recognized university
5-10 years of hands-on experience in cargo and vessel operations in an oil and/or gas trading company
Knowledge in Maritime law
Excellent skills in Excel are preferred
