Job Responsibilities:

• Calculate commission payments for stylist based on established criteria and guidelines
• Ensure accuracy and timeliness in processing commission payments
• Collaborate with the operations team and management to resolve any commission-related inquiries or discrepancies
• Maintain detailed records of commission calculations and payments
• Generate reports on commission payments and performance metrics as needed
• Assist in developing and implementing commission structures and incentive programs
• Stay updated on industry trends and best practices related to commission calculations
• Any ad-hoc duties as required

Requirement:

• Diploma or relevant certifications in administration
• Min. 2 years of relevant experience
• Proven experience in operations administration, with a focus on commission calculations
• Strong mathematical and analytical skills
• Proficiency in Microsoft Excel and other relevant software applications
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• Attention to detail and a high level of accuracy in calculations
• Knowledge of sales processes and commission structures is a plus

Remunerations:

Working Days: 5 days’ work week (Monday to Friday)

Working Hours: 8am to 5pm/ 9am to 6pm

Annual Leave: 14days (for the 1st year), subsequently will increase 1 day and capped at 21 days

Medical Leave: 14days

Medical Claim: $300 per year

I. JOB DESCRIPTIONS

• Understand contractual terms and obligations to fulfil shipment requirements for coal and base metals, include handling in the area of Indonesian coal
• Upon confirmation of trade, draft and prepare contracts of sales and purchase
• Liaise with counterparts on vessel nomination, load and discharge port details
• Liaise with customers on draft LC opening or Export LC
• Prepare and ensure shipping documents to comply with LC requirements. Liaise with bank directly for LC negotiation
• Update buyers and sellers on vessel movement
• Check and/or prepare invoices and relevant documents from supplier / to Buyer to ensure compliance with terms of agreement.
• Prepare lay time calculations (demurrage, dispatch), for buyer calculate discharging lay time, for seller; resolve issues as required.
• Monitor receivables and payables from counterpart.
• Ensure all month end transactions are complete within stipulated timeline.
• Monitor shipment status
• Upon loading of shipment, record quality, quantity, bill of lading and all shipping documents; checking against buyer’s LC or shipping instructions.
• Monitor demurrage and/or dispatch receivables or payables.
• Work collaboratively with the team to provide support and coverage as required.
• Support and advise Front Office in Contract review, revision and recommendation to ensure risk exposure is minimized
• Collaborate with the team to ensure all transactions are executed accordingly to internal rules and escalate if required.
• Work with various departments to determine amicable solutions.
• Adhere to internal control and compliance procedures
• Liaise with the Compliance team to review, update and improve internal control processes on a timely basis
• Any other tasks relevant to Trade Operations, as may be assigned by supervisor

II. REQUIREMENTS

• At least 5 years of experience in a coal and base metals operation, include handling in the area of Indonesian coal
• Strong knowledge of various incoterms and well understanding with Letter of credit & UCP600
• Familiarity with shipping (bulk) and usage of laycan and demurrage, particularly on FOB-CFR shipments
• Teamwork mindset
• Proficient understanding of contractual commercial terms
• Knowledge of International Base Metals or Coal Trade (related to procedural flow of trade, B/Cs, B/Ls, Security Trade Control, Internal Control)
• Proficiency in Commodities Trading Systems

Duties/Responsibilities:

• Performs the daily administrative workflow of the Coffeeshop/Food Court, maintaining efficiency and compliance with company policies.

• Prepares sales reports, headcount reports and coordinates staff meetings/trainings schedules.

• Oversees maintenance, telephone services, email correspondence, and mail distribution.

•Conduct interview for outlet staffs.

•Upkeep TMS & SAP.

•Submit application for delivery platform.

• Maintains office and outlet supplies inventory.

• Maintains records, documentation, and files.
• Conduct outlet visiting.
• Ensure all relevant licenses is updated.

• Performs other related duties as assigned.

Required Skills/Abilities:

• 5.5 work day per week with one Saturday work from home

• Preferably to have at least 1 year of experience in F&B Operations or F&B Administration

• Excellent Excel, PPT skills

• Excellent verbal and written communication skills.

• Excellent organizational skills and attention to detail.

• Excellent time management skills with a proven ability to meet deadlines.

• Ability to prioritize tasks.

• Ability to function well in a high-paced and at times quick pace environment.

Administrative Support

• Coordinate and arrange logistics, such as catering, transport, venue booking etc for meetings, events, and company functions
• Collate and submit finance documents to process payments
• Review and process applications accurately
• Manage Learning Management System for Courses
• Assist to manage and organise schedules, appointments, and meetings
• Liaise with stakeholders for exam processing matters
• Collate and create assessments in internal systems
• Budgeting for new intake exams and programmes
• Co-lead the programme
• Handle general enquiries and perform other ad-hoc duties as assigned

Operational Support

• Facilitate course workshops or lectures, whether in-person or virtual
• Support examinations and courses during office and non-office hours by performing tasks such as invigilation and ushering

Job Requirements:

• Previous experience in an administrative or operational support role would be advantageous
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and platforms such as Zoom and MS Teams is preferred
• Working around 20 weekends a year and occasionally after office hours is to be expected.
• Working after office hours and on weekends will be compensated by off-in-lieu.
