The jobholder is responsible for overseeing the smooth operations of the nursing home.

• Develop and implement strategic plans to increase efficiency and effectiveness of processes in NH to meet the needs of patients, staff and the public.
• Ensure optimum utilization of NH assets, including safety, security and periodic maintenance.
• Develop and foster effective collaboration between departments, management and external services to ensure integrated approach.
• Oversee planning, coordination and facilitation of information services to ensure best possible delivery for higher customer satisfaction.
• Supervise and manage operations staff, facilitate teamwork, employee relations, KPI and ensure smooth administrative processes.
• Plan, direct, implement and evaluate crisis and risk management protocols, including fire control management, safety and evacuation measures.
• Plan and coordinate contingency plans as well as develop operations and procurement SOP for NH.
• Develop and implement procurement plan and ensure fair, transparent processes in set-up and day to day running of Home operations, including tender processes.
• Maintain and implement inventory-asset record, tagging and movement tracking system.
• Manage IT hardware and systems related matters, and liaison with external vendors, agencies and stakeholders for IT projects.
• Handle external communications and corporate relations matters.
• Supervise execution of internal programme planning and external outreach coordination and partnership projects.
• Any other relevant work as assigned by supervisor.

Requirements:

• Minimum Degree in any field.
• Relevant experience with 3 years in supervisory role preferably.
• Excellent analytical and problem solving skills.
• Good co-ordination, interpersonal and people management skills.
• Independent, resourceful and able to perform under pressure.

• To respond on emergency (standby 24/7 calls ) attend project sites while on duty and off duty.
• To communicate assigned cleaning duties to the cleaning team.
• To ensure teams adhere to safety measures during cleaning operations.
• To supervise, coordinate and manage work activities of cleaning staff.
• To assist the cleaning staff in resolving working issues with clients.
• To implement operation plans to improve work processes and service quality.
• To attend site meetings with operation team.
• To assist in coordinating and liaising with clients at project sites.
• To respond to emergency calls while on duty and off duty (standby 24/7)
• To perform other ad hoc as assigned.

The Job

The Operations Executive plays an important role in ensuring the smooth and efficient operation of

multiple sites within our organisation. Reporting directly to the Operations Manager, this position

involves overseeing daily operations, coordinating with colleagues at various sites, and

implementing strategies to enhance operational efficiency. The ideal candidate will be detail-

oriented, proactive, and capable of managing multiple tasks simultaneously.

Responsibilities

• Support the Operations Manager to maintain IT systems and implement digitalisation efforts across the organisation.
• Review operating processes and Develop strategies with the Operations Manager to enhance day-to-day operations of various services.
• Ensure reliability of all facilities’ mechanical, electrical, plumbing and fire safety systems, either through carrying out simple repairs or coordinating with service providers to carry the necessary works.
• Complete administrative tasks relevant to quotations, service agreements & contracts, purchase orders of inventory and supplies.
• Support any other ad-hoc duties as and when required.

Requirements

• A qualification in information operations management/information technology/business administration.
• At least 2 years of relevant working experience in similar role/multi-site setting.
• Good communication and interpersonal skills.
• Possess a keen eye for details and strong drive to see things through.
• Be able to work on weekday evenings/weekends when necessary/required.
