CEO Secretary (Japanese-speaking, C-suite, Central)
Our established Japanese client in the energy industry is looking for a professional and committed secretary. CEO Secretary shall conduct high-level administrative support and assistance to the CEO of the Company.
Specific responsibilities include:
- Manage daily schedule for internal/external meeting requests, liaise with transport service provider for local transport arrangement, provide daily updates of meetings, lunch, dinner appointments and golf booking etc. in a timely manner
- Assist in business travel support, including arrangement of VISA application, and overseas accommodation/logistic arrangement. These may include private flights and logistic booking etc.
- Manage monthly expenses and claims
- Other ad-hoc tasks and support any other administrative duties assigned by the CEO and reporting supervisor(s)
Attitude and Skillsets:
- Proactively support CEO in his daily business activities without disruption. Be responsible for the role with a professional mindset, and keep in mind to work as a member of the administrative department;
- Maintain good relationships with all employees, and work cooperatively as a cornerstone of all departments;
- Fully understand the confidentiality of information obtained in the course of work and strictly observe confidentiality
- Effective listening, communication, and interpersonal skills;
- Excellent verbal and written communication skills;
- Excellent time management skills with a proven ability to meet deadlines.;
- Ability to multitask and function well in high-paced and at times stressful environment;
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems;
- Proficient with Microsoft Office 365 with the ability to learn new or updated software
- Experience in the SAP accounting system will be an advantage
Qualifications:
- Diploma or equivalent.;
- 3 - 5 years of Personal Assistant experience in a corporate or professional environment working for senior-level management preferred;
- .Good written, verbal, and interpersonal communication skills;
- Japanese communication skills (minimum JLPT level N2 or equivalent) are required to liaise with Japanese-speaking counterparts;
- Possess strong organizational skills, meticulous attention to detail, diligent, self-motivated with a positive working attitude;
- Able to multi-task and work under pressure;
- Able to solve problems independently or with minimum supervision;
- A good grasp of absolute discretion and confidentiality
