Responsibilities

Maintenance Phase:

• Responsible for all HVAC system maintenance for both Non-GMP and GMP equipment at the XDC Singapore site, including air handling units, cold rooms, isolators, clean rooms, pass boxes, LAF, and other related chilled water and cooling water pipelines.
• Create HVAC SOPs, PM plans, and manage spare parts in accordance with the XDC framework.
• Execute the PM plan and perform any required emergency maintenance.
• Monitor system data to improve performance, resolve weaknesses, and implement best practices for energy saving and low carbon operations.
• Handle deviations or change controls related to the HVAC system.
• Mentor junior engineers and guide their development.
• Collaborate with the shifts team, user team, QA, Validation, and other departments to ensure the HVAC system meets all departmental requirements.

Project Phase:

• Participate in and execute HVAC-related activities during the project phase, adhering to the project timeline.
• Monitor vendor performance and address any discrepancies by issuing punch lists.
• Perform HVAC startup activities under supervision.
• Review system TOP documents and provide feedback as necessary, ensuring all documentation is comprehensive.
• Perform other tasks as assigned by project leadership.

Requirements

• Qualified ACCA / CA with at least 8 years’ experience in Finance and 3 years’ experience in a leadership role

Job Description

As a (Senior) Operations & Projects Executive at The Working Capitol & Triple P Group, you will play a pivotal role in shaping and elevating our brands by ensuring a seemless operations & projects experience for all our members and partners by working with all stakeholders. You will be the enabler that ensure our operations & projects are well maintained to support new tenants, collaborating closely with the Facilities team, Sales Team, Marketing team etc to maintain projects across our portfolio of properties. Your work will enable us to provide an exceptional on/offboarding tenant experience at our spaces to continue to become Best Remote Work Solutions Provider & a Great Place to Work.

Key Responsibilities

Project Management Responsibilities:

• Assist in Project Oversight: Collaborate with the Design & Engagement Manager to obtain fit-out and design themes.Work with the Facilities team to prepare offices for new tenants, ensuring all defects are documented and addressed before move-in to ensure smooth on/offboarding and operations and ensure all works adhere to legal regulations
• Manage Project Schedules: Develop and maintain comprehensive project timelines using tools like Monday.com and Airtable, regularly updating based on progress and addressing potential delays proactively.
• Vendor Management: Oversee the selection, negotiation, and contract management of vendors for projects. Ensure timely and high-quality delivery from contractors. Ensure compliance with company’s procurement policy. Including budget management on OPEX and CAPEX.
• Liaise and maintain good landlord-tenant relationships and attend to tenants’ requests/feedback.
• Defects Management: Conduct thorough inspections to identify defects in construction or maintenance work and implement an efficient tracking system for resolution.
• Track and Update Job Completion Timelines: Monitor progress on assigned tasks, update project timelines, and communicate potential delays to stakeholders.
• Sustainability and Signage: Collaborate with facilities to implement sustainability messages and signage across all locations.
• Ensure smooth operations on site(s) and facilitate incident investigation whenever necessary. Liaise with government authorities/ statutory boards and other divisions on matters relating to operational management and projects as needed.
• Handover/Takeover: Oversee & document the handover and takeover process.

Operations Responsibilities:

• ⁠Conduct Site Inspections: Perform regular walk-throughs to ensure facilities standards are met, raising any concerns for follow-up and aligning schedules with the Facilities team.
• ⁠Address Community Requests: Respond promptly (within 48 hours) to complaints and requests from community members regarding operations and project matters, taking immediate action to mitigate risks.
• ⁠Vendor Relationship Management: Assist in managing vendor relationships for ongoing maintenance contracts, ensuring all documentation is updated and saved centrally.
• ⁠Facility Maintenance Requests: Work with the Facilities team to address simple repair and maintenance tasks as needed, coordinating with finance/sales for tenant charging matters.
• ⁠Completion of Checklists: Prepare and ensure completion of required checklists for all project and operational activities.
• ⁠Ad-hoc duties: Assist with any other responsibilities of our business operations (For instance: front desk duties)

Requirements:

• Minimum Diploma in Property Management/Building Management/Estate Management/Facilities Management/Engineering or equivalent with 3-5 years of relevant experience in facilities operations management preferably in heritage shophouse management
• Able to work under pressure and meet tight deadlines with a calm disposition
• Comfortable with moving to different locations (central/near central)
• Strong communication and interpersonal skills to communicate professionally with both internal and external stakeholders to ensure operations & projects are well managed with positive feedback from tenants/members & employees.
• Knowledge of and conversant in the Building Maintenance & Strata Management Act

What You'll Do:

• Architect a Powerful Ecosystem: Design and Develop a platform that fosters high throughput, low latency and fault tolerant cash management business solutions
• Embrace Complexity: Propose and Design a system capable of managing diverse payment products and Cash Management activities
• Boost Efficiency: Drive agility through more focused and structured business Analysis model.
• Navigate the Regulatory Landscape: Implement solutions that adhere to evolving regulations and new standards like CBPR+, HVPS+ and Data localization directions from central banks.
• The position requires autonomy and reliability in performing duties while maintaining close communication with the rest of the program. The candidate will need to develop a good understanding of both IT systems and business processes.

Main responsibilities

• Contribute to the team’s business needs with strong functional expertise on GPP-SP platform for International Payments, Real Time Payments, Cash & Liquidity Management, Compliance/AML, FX, Messaging (Swift and ISO), clearing and settlement mechanisms
• Provide expertise on Corporate Payments, Correspondent Banking and Indirect Participants Banking
• Provide the strong expertise on GPP-SP configuration management and Business & system configurations
• Understanding the BRD and conducting requirement gathering by various means like brainstorming, workshops, Questionnaire and working with different stakeholders of the cash management team like Product Managers (Global as well as In-Country), Client Services, Implementation, Operations and Finance in the context of GPP-SP.
• Mapping the identified functional requirements to GPP-SP and defining a solution with the help of it to full fill the payment processing.
• Do Fit-Gap Analysis of the Business Requirements and design configuration solutions in GPP to minimize the Gaps and use GPP capabilities to address the requirements.
• Provide Defect Triage analysis of the issue raised by Quality Assurance team and work towards fixing of the issue using GPP configuration capabilities.
• Identifying the scope of the requirements, validating the requirements in the context of GPP-SP
• Perform level 3 Support of applications in production:
• analyze, troubleshoot and resolve issues as they arise
• and support in the recovery management in case of production incidents with great level of agility due to the criticality of payment systems and business

Analysis and design of GPP solutions:

• Follow Business Analysis best practices and Engagement of Stakeholders across Front-to-Back functions.
• Is responsible for all analysis of functional requirements arising from the requirements of business stakeholders, business users and technology.
• Manage the requirements and provide design options for the solutions available and guide the team.
• Evaluate of alternative IT solutions and provide appropriate recommendations.
• Provide domain expertise with the strong understanding of all cross border payment processing knowledge to help define a viable business solution, working with the key business sponsors in GPP-SP.
• Ensure that the services delivered conforms with, and contributes to the development of the business strategy.
• Assess the impacts on the project deadlines resulting from change requests, adhoc projects, or technology issues.
• Coordinate with various user groups and interface teams and getting them on board as interface services for various financial services.
• Manage stakeholders, risks, issues, quality, and project controls.

Contribute to the testing and support of GPP and Cross Border payment applications

• Work closely with the technical implementation team in bridging the gap from translating functional to technical details
• Provide functional Guidance to the Team, working closely with developers/Tech Leads/BAs and to the contributor applications for assisting in resolution of queries Perform level 3 support of applications in production.
• Analyze and evaluate the defects as raised by first and second level support.
• Coordination with support team and technical team to investigate the defects.
• Make sure it works in continuous integration environment.
• Write tests to ensure the robustness of the fix.

Professional Skills and Qualifications

At least 10+ years of hands-on experience in payment systems (especially GPP SP) and good understanding of payments domain.

• Hands-on experience in upgrades and migration of GPP versions
• Work on complex systems and a challenging international work environment
• Knowledge of all phases of IT system development and implementation life cycle
