Responsibilities
The Senior Operations Executive (Customer Service) oversees and manages all aspects of customer support operations, including handling customer inquiries, processing orders, managing deliveries, and overseeing order management processes.

1.Customer’s enquiries

• Respond promptly and professionally to customer inquiries via phone, email, chat, and other communication channels, providing accurate information and resolving issues effectively.
• Communicate and follow-up with customers regarding order, delivery schedules and status.
• Manage enquiries such as stock availability.

2. Customer Relationship Management

• Coordinate the key accounts program in collaboration with the sales team, nurturing and managing customer relationships.

3. Order Processing

• Process customer orders accurately and efficiently, ensuring adherence to established protocols and timelines.
• Coordinate with the warehouse and logistics teams to prioritize and fulfil orders based on inventory availability and shipping requirements.
• Resolve order discrepancies or issues promptly and effectively, ensuring customer satisfaction.

4. Shipment Management

• Perform shipment coordination & documentation for exports and drop shipment orders with inter-companies and overseas customers.
• Make shipment arrangements based on the most cost effective and efficient logistics partners and routes.
• Provide with the necessary documents where required. (e.g. Certificate of Analysis / Compliance and end user license etc).

5. Compliance and Best Practices

• Review and update all relevant SOPs (new and/or existing) as assigned.
• Identify opportunities for process improvement and workflow optimization.
• Establish and maintain an efficient reporting system to minimize operational errors and promote cost-saving strategies, supporting a lean management approach.

6. Others

• Review and achieve agreed-upon KPIs.
• Perform other projects & duties as and when assigned.

Pre-requisites

• Degree holder in Business Administration, Supply Chain Management, or other Business related discipline
• 3-5 years of experience in customer service-related roles.

• Provide delivery leadership and responsibility for the implementation of GE Digital Grid software solutions at various customer sites in the APAC region.
• Lead a customer focused project team that will include internal resources, partner companies, or subcontractor to support project execution and to ensure their tasks are completed as required.
• Define execution plan and approach based on project scope, expected timeline and available budget/resources.
• Ensure pre-defined project management processes and practices are followed. Drive simplification and improvement as necessary
• Support project execution team with resolution of roadblocks and interdependencies. Partner with technical and functional teams external to the project to ensure their tasks are completed as required. Influence peers to take action and may negotiate with external partners, vendors, or customers.
• Manage the project budget and timeline and ensure the resources are available to a deliver a quality solution within budget and on time.

Required Qualifications

• Bachelor’s Degree in Computer Science or Information Technology from a local or internationally recognized university is a must. Those with an Engineering Degree will also be considered;
• At least 10-15 years of experience in project management function in large scale, complex software projects for example Customized Customer Relationship Management or other software implementation.
• Strong experience with Agile/Scrum execution. (Certified Scrum Master desirable)
• Travel to customer sites in Taiwan as and when required.

Job Responsibilities:

• Manage the allocated school premises by leading a team of two (2) Deputy Estate Development Managers.
• Guide and supervise the EDOs and contractors at the assigned blocks.
• Review the Approval Of Request (AOR), Invitation to Quote (ITQ) and Invitation to Tender (ITT) prepared by the EDOs.
• Assist in the procurement of vendors and services required, including management of contracts renewal.
• Assist to monitor the approved department budget.
• Implement use of technology in meaningful and effective ways to achieve higher operational efficiency and effectiveness. Seek ways to reduce costs and improve operational standards.
• Ensure consistency of policies and procedures with constant updating of documents, including drawings and OM&M.
• Conduct regular inspections of the blocks assigned and propose improvement works, if required.
• Ensure all works and vendors comply to the environment health and safety as per local code of practice.
• Calculate and compare costs for goods and services against market sensing to maximize cost effectiveness.
• Work closely with the Chief Safety officer to ensure compliance with the school’s fire guidelines.
• Review and update the emergency response plan and ensure compliance to fire safety requirement.
• Ensure timely renewal of the school fire certificate including working closely with the school’s incumbent service provider.
• Supervise the maintenance of all fire safety works, first aid boxes and CERT equipment within the school.
• Conduct daily checks within the school and remove any fire hazard that is observed. This includes the improvement of fire safety works in accordance with SCDF’s requirement.
• Prepare and submit the annual fire safety report.

Job Requirements:

• Diploma in Facilities Management or Engineering with minimum 2 years working experience in Mechanical & Electrical works and building related services; or
• Minimum 2 years of relevant experience in property or facilities management, facilities engineering, or related field.
• Possess experience in managing budget and finance-related matters.
• Certified Fire Safety Manager or equivalent and successful registration with SCDF as qualified FSM with at least 3 years of working experience.
• Able to work independently as well as a team player and able to work and resolve problems in a fast-paced environment.
• Experience in school environment will be an added advantage.
