Role Highlights

• Serve as primary contact for processing needs and handling inquiries from internal stakeholders (example: Recruitment Consultant / Key Account Manager), the client & associates

• Facilitate and escalate immediately, any issues encountered by associates at immigration or otherwise, as and when required

• Process onboarding, offboarding, work on timesheets, attendance records, leave & benefits administration and provide deployment details to Payroll
• Track process changes and drive documentation updates according to directives
• Provide policy interpretation and advisory by clearly explaining policies related to Company’s and Client’s operations
• Works closely with the client and associates to maintain positive work relationships
• Provides HR policy interpretation; rendering HR advises to internal stakeholders (example, Recruiters, Key Account Manager) and the client
• Maintains an effective level of administering benefits
• Assist with any ad-hoc duties, projects, recruitment and activities as and when required

Profile and Experience

• Some experience in offshore project operations, immigration, or customer care is preferred
• A quick thinker and problem solver who is calm and possesses strong communication, critical thinking and analytical skills
• Possesses ability to build and manage relationships
• Ability to prioritize tasks with strong time management skills

Job Description:

• Ensure that all warehouse logistical operations and processes run smoothly. This includes inventory level monitoring, proper organization of the warehouse, ensuring standard operation procedures (SOPs) are followed, maintaining safety and cleanliness standards, etc.
• Receive and check all incoming goods shipments & prepare outgoing goods shipment for overseas.
• Re-packaging of goods for customers, whenever necessary.
• Ensure that all orders are properly packed and are matched with the correct invoice documents before being sent out for local delivery.
• Ensure safe transportation and timely delivery of goods (including loading and unloading) to customers in Singapore.
• Resolve any delivery discrepancies or customers' complaints in a professional and service-oriented manner on the spot.
• Prepare work reports and other documents related to deliveries.
• Maintain company vehicles in clean and good working condition.
• Perform other ad-hoc duties as assigned, including general warehouse duties (eg: maintaining proper organisation, cleanliness, safety standards of warehouse, etc.).

Key Requirements:

• Must have a valid Class 3 driving license, with good driving record and very few traffic violations.
• At least 2 years of warehouse operations and/or delivery driver experience.
• Physically fit and able to carry heavy goods.
• Strong time management skills and self-discipline, with ability to work under tight deadlines in a fast-paced environment.
• Good customer service attitude, patient and flexible.
• Able to work independently and also as a team.

MAIN DUTIES AND RESPONSIBILITIES

1. To perform the full scope of operations roles for Multimodal Freight services, not restricted to quotes, rates negotiation with carriers/liners/agents, cargo reservation, shipment confirmation, collection/delivery, shipment execution, permit declarations, cargo transfers, pre-alerts, and billings.
2. To coordinate with co-loaders, support export/import/cross trade shipments and updating of shipping status.
3. To ensure all dangerous goods handling and live animals handling are according to SOP and IATA regulations.
4. To ensure all air/sea freight shipment (pick up & deliveries) are performed according to SOP and provide timely updates and constant support to customers.
5. To ensure the office and warehouse premises are secured at all times.
6. To attend to all phone calls and emails promptly.
7. To deliver proactive and efficient service level for all shipments.
8. To secure all company's property, information, safeguard goods and customers' data at all times.
9. To work closely with Sales team to identify potential business opportunities for new businesses.
10. To rotate standby duties for after office hours emergency calls.
11. To carry out any other duties as may be expected in a post of this level.

Operational Support:

1. Develop and implement data management policies and processes across the organisation
2. Assist with collecting, compiling, analysing and presenting basic data on the organisational and project level to support strategic decision-making as well as programme design and implementation
3. Review operational processes related to programme implementation and volunteer management within ActSEA and our partners, and identify and implement solutions to enhance operational efficiency.

Administrative Tasks:

1. Assist with processing the approval and payment of invoices, reimbursement claims, and payroll, for ActSEA as well as impact organisations in our network
2. Support the accurate and timely entry of financial transactions and compilation of supporting documents into Google Sheets, NocoDB, and/or Quickbooks for ActSEA as well as impact organisations in our network to ensure smooth project implementation.

Job Responsibilities

• Good customer service and troubleshooting skills
• Ability to communicate technical information, both verbal and written to the end-users.
• Installation, set-up of system and maintenance activities, as well as deployment
• Perform systems administration, update IT applications & IT infrastructure system (eg. Windows & Linux servers)
• Perform recovery procedures to solve system issues
