Operations Duties

• Terminal Cost Calculation: Calculate container/Cargo terminal costs based on operational requirements and relevant cost factors. Take responsibility for maintaining an accurate operational list, which includes capturing all chargeable units and those of partner slot units. This involves doublechecking data entry and verifying information to maintain data integrity.
• Collaboration with the Operational team, Finance team, and Digital team to gather necessary information, resolve any discrepancies, and ensure timely and accurate reporting.
• Maintain proper documentation of terminal costs and prepare reports which may include cost breakdowns, variance analysis, and trend analysis to improve the accuracy and efficiency of cost calculations, and reporting process.
• Verify and Issue POs under SAP for operational purchase pertaining to crew expenses and all other 3rd party principals outside of the Company.
• Assist operations team on other Solver minds CVP modules.
• Liaise with Treasury on issuance of banker’s guarantee for regulatory Authorities such as ICA, and cargo terminals.
• Facilitating cash to master in liaison with Operations and Treasury.

Finance Duties

• Prepare and post journals for month-end close (i.e. agency revenue, crew advances/bonus, logistics expenses reclassifications, and all adjustments relating to Agency). He or she is required to work independently and has a comprehensive understanding of GL codes and apply the necessary parameters for different financial transactions.
• Institute agency fee recoveries against Ship Management for services rendered pertaining to crew change fees and expenses.
• Liaise with other 3rd party principals and AR on agency fees and cost recoveries pertaining to agency services rendered in respect of crew change and other cost outlays incurred on behalf of such principals. This includes performing reconciliation, matching and clearing of GL account.
• Assisting the Operations team in monitoring and extracting invoices in relation to cost recovery.
• Extracting and sorting of PSA/PSA Marine invoices on a regular timely basis. This includes assisting AP to identify the cost center and advise AP on the ownership of the bills.
• Work with AP to ensure prompt process of vendors’ invoices including highlighting areas of concern and resolution on disputes.
• Resolve Cost team’s queries on voyage cost and vendor management.
• Analyse port rebates in PSA and JP in accordance with the Port Agreement/Contracts.
• Compute/distribute the apportioned proceeds across the relevant trades.
• Prepare monthly Admin Cost variance reports including highlighting exceptional cost to reporting managers.
• Prepare yearly admin budget and review quarterly admin re-forecast.

Admin Duties

• Collate the Agency Monthly Performance (KPI) in consultation with the HODs as part of the monthly review exercise on our agency performance.
• Maintain and Update the Share Point page for the Agency Department.
• Manage the storage of documents within the agency and when required, to arrange proper labelling on documents for off-site warehouse storage. Periodically to review the documents stored off-site and where it is practical and permitted, conducts disposal of such documents.
• Assist the Agency dept in all admin functions including, season carpark renewal for agency staff, stationery needs, general upkeep of the agency area.

• Provide support in addressing customer inquiries and requirements, ensuring a positive customer experience.

Requirements

• A valid Class 3 driver's license is mandatory.

As an Operations Coordinator, you will assist in the day-to-day operations of the crane/transport department. Your responsibilities will include liaising with different teams, clients, and vendors to ensure effective operations and seamless coordination.

Key Responsibilities:

• Serve as the Controller of Crane/Transport department.
• Assist in the deployment and arrangement of jobs.
• Liaise with salesperson and customers to resolve any crane/transport-related issues and with the workshop department on repairs or maintenance tasks.
• Prepare and submit necessary documents and applications to relevant authorities, including but not limited to renewing LM, submitting crane documents and any other site-related submissions.
• Support day-to-day operation administrative tasks.
• Answer incoming calls, including night calls or urgent requests when necessary.
• Process and submit claims for all outfield workers and operators.
• Perform ad-hoc tasks as assigned by the Manager or Management to support operational needs.

Qualifications & Requirements:

• Minimum 1 - 2 years experience in operations coordination or a similar administrative role (experience in crane/transport industry preferred).

The Job

The Operations Executive plays an important role in ensuring the smooth and efficient operation of

multiple sites within our organisation. Reporting directly to the Operations Manager, this position

involves overseeing daily operations, coordinating with colleagues at various sites, and

implementing strategies to enhance operational efficiency. The ideal candidate will be detail-

oriented, proactive, and capable of managing multiple tasks simultaneously.

Responsibilities

• Support the Operations Manager to maintain IT systems and implement digitalisation efforts across the organisation.
• Review operating processes and Develop strategies with the Operations Manager to enhance day-to-day operations of various services.
• Ensure reliability of all facilities’ mechanical, electrical, plumbing and fire safety systems, either through carrying out simple repairs or coordinating with service providers to carry the necessary works.
• Complete administrative tasks relevant to quotations, service agreements & contracts, purchase orders of inventory and supplies.
• Support any other ad-hoc duties as and when required.

Primary Responsibilities:

Weighing Operations:

• Manage and operate weighbridge systems to accurately measure and record the weights of incoming and outgoing vehicles, including Tank Trucks, ISO Tank Trucks, and Flex Bag Containers.

• Ensure compliance with weight regulations, safety standards, and company policies throughout the weighing process.

Documentation and Coordination:

• Accurately log weight data, verify documents, and issue weighbridge tickets.

• Monitor and record key vehicle details such as date, time, tanker number, sequence, filling data, and compartment specifications.

• Collaborate with the customer service team to manage and align documentation requirements.

Compliance and Safety:

• Actively participate in safety protocols and ensure that all operations align with internal and regulatory safety requirements.

• Identify and address issues in the weighing process to prevent disruptions.

Skills & Competencies Required:

• Strong attention to detail and accuracy in data entry.

• Effective communication skills to liaise with drivers, customer service, and internal teams.

• Ability to monitor and manage multiple tasks while maintaining compliance.

• Able to use Microsoft Office (Excel,word) Familiarity with weighbridge software is a plus.

Manpower Management:

1. Daily manpower deployment including managing exceptions due to unplanned leave to ensure no services are missed.
2. Review division capacity and plan ahead to maximize efficiency while minimizing travel time.
3. Managing Field Technician leave and claims
4. Managing Field Technician Report Card process, ensuring KPIs are tracked and achieved.
5. Support Field Technicians with troubleshooting app-related issues and address work-related queries.
6. Collaborate with the Technical and Quality Control Teams for optimal service delivery.
7. Participate in the recruitment and onboarding of new Field Technicians to ensure they are well-prepared for deployment.
8. Organize and lead technician meetings or training sessions to communicate updates and expectations.
9. Preparing Monthly Reports on efficiency and productivity

Service Management

1. Ensure customers are onboarded accurately based on the service scope stipulated in the contracts.
2. Develop long-term service plans to enhance operational efficiency and maximize revenue potential.
3. Coordinate daily schedules for field technicians, ensuring timely and efficient service delivery.
4. Analyze operational data and reports to identify areas for improvement and implement necessary changes.
5. Ensure daily updates from Field Technicians due to service change requests are reflected in work orders.
6. Collaborate with other departments for complaints, complex set ups, quoting, renewal, service consolidation and survey requirements.
7. Ensure compliance with health and safety regulations and company policies.
8. Attend Customer Meetings on operations matters as and when required (regular monthly meetings and ad hoc meetings)

Requirements:

1. Proficient in Office 365 (Word, Excel, PowerPoint, SharePoint) and experienced in using CRM Systems, such as Salesforce.
2. Meticulous and detail-oriented with a strong focus on accuracy.
3. Ability to work collaboratively as a team player with minimal supervision.
4. Minimum of 3 years of relevant work experience in operations (supervising drivers, technicians, etc.).

POSITION SUMMARY

Manager, Project Management, RM Ops, APEC role will be the Project Lead for the APEC Business Intelligence Platform (PEAK) – a data, analysis and reporting solution for On-property and Above Property Consumer Operations Stakeholders in Asia Pacific Excluding China Region. The role will be responsible for technical and analytical support required in collaboration with external vendors to build the BI Platform, the role will include, but not limited to, Data ETL, Module framework, Dashboard Design & Build, User Testing & Training Material Development. The role will also drive and execute initiatives that help through ongoing enhancements and On/Above Property Execution.

In addition, will collaborate with the Director, Performance Analysis, and Sr. Director, APEC Revenue Management Operations.

CANDIDATE PROFILE

Education & Experience

• Bachelor’s degree from an accredited university in Business Administration, Hotel Management, or a quantitative discipline (finance, computer science, operations research, economics, mathematics, statistics, etc.)
• Min 5-7 years of relevant professional experience demonstrating progressive career growth and a pattern of exceptional performance
